Job Description

Job Summary We are seeking a highly organized, patient-focused Wellness & Patient Care Coordinator to serve as a central support role within our Aesthetic and Wellness Practice. This position combines clinical support, wellness program coordination, patient education, refill management, and sales support in a provider-led environment. This role is ideal for a candidate who enjoys patient interaction, wellness education, and follow-up-driven care—while working closely with licensed medical providers to ensure safe, compliant treatment delivery. Key Responsibilities Clinical & Medical Support Assist with patient intake, room preparation, and treatment setup Support hormone replacement therapy (HRT), weight loss, and wellness programs as directed by licensed providers Maintain cleanliness, organization, and safety of treatment rooms and clinical areas Document patient interactions, treatments, and follow-ups in Zenoti EMR Support medical providers by ensuring accurate documentation and timely patient follow-through Wellness Program Support & Patient Education Conduct wellness consultations focused on patient goals, education, and program options Review lab results after provider interpretation and explain results in an understandable, non-diagnostic manner Educate patients on provider-approved treatment plans , wellness programs, and memberships Act as a liaison between patients and providers, escalating questions or concerns appropriately Build long-term patient relationships to support engagement, adherence, and retention Refill Coordination & Follow-Up Serve as the primary refill coordinator for wellness, HRT, and weight loss patients Track refill timelines, lab requirements, and follow-up appointments Coordinate medication refill requests with providers per protocol Communicate refill status and next steps clearly to patients Maintain accurate documentation of refills, communications, and approvals Sales Support & Patient Retention Support wellness and membership sales through education and follow-up Reinforce the value of wellness programs during patient interactions Assist in converting consultations into long-term care plans through trust-based communication Contribute to clinic KPIs through rebooking, retention, and patient satisfaction Qualifications & Licensure One of the following is preferred (but not required): Certified Medical Assistant (CMA) Certified Phlebotomy Technician (CPT) Paramedic / EMT-P All responsibilities must align with state scope-of-practice regulations and clinic protocols.
