POSITION SUMMARY
The Dispensary Manager oversees the daily operation of St. Michael's Medical Clinic's charitable medication dispensary. Operating under provider-approved standing protocols, this position is responsible for accurately processing and dispensing medications, managing inventory, maintaining compliance with charitable pharmaceutical partners, and ensuring patients receive timely access to prescribed medications. The Dispensary Manager serves as a vital member of the clinical team, providing medication support to approximately 25 clinic patients daily as well as 10-15 additional patients seeking prescription refills. This position manages an average of 100 prescriptions per day and serves as the primary point of contact for medication refill requests, inventory management, medication-related patient questions, and supplier coordination. The Dispensary Manager serves as an important safeguard in the medication dispensing process by exercising sound judgment, recognizing potential medication-related concerns, and collaborating closely with providers to ensure safe and appropriate patient care. Through careful review of refill requests, medication histories, and inventory utilization, the Dispensary Manager helps maintain both patient safety and responsible stewardship of clinic resources. ESSENTIAL DUTIES AND
RESPONSIBILITIESMedication Dispensing and Patient Support Process, prepare, and dispense medications in accordance with provider orders, clinic protocols, and applicable regulations. Enter prescriptions accurately into BestRx pharmacy management software. Review refill requests and process medication renewals according to clinic procedures. Serve as the primary point of contact for patient medication questions and refill requests. Provide basic medication education and instructions to patients as appropriate. Maintain accurate dispensing records and documentation. Coordinate with providers regarding medication concerns, refill requests, and patient safety issues. Review refill requests, medication histories, and dispensing records for accuracy and appropriateness; identify unusual refill patterns, medication discrepancies, inventory irregularities, or potential patient safety concerns and promptly consult with providers when concerns arise. Ensure patient confidentiality and compliance with HIPAA requirements. Inventory Management Manage all dispensary inventory to ensure adequate medication availability. Receive, verify, unpack, and stock incoming medication shipments. Rotate inventory to ensure proper stock utilization and minimize waste. Monitor expiration dates and coordinate removal and disposal of expired medications. Maintain organized medication storage areas. Establish and maintain inventory levels based on patient utilization trends. Forecast medication needs and place orders through approved charitable pharmaceutical partners. Conduct inventory tracking and reporting as required. Assist with inventory audits and quality assurance reviews. Supplier and Program Management Coordinate medication ordering and inventory management with charitable pharmaceutical suppliers including AmeriCares, Direct Relief, Dispensary of Hope, and MAP. Maintain compliance with supplier requirements and reporting obligations. Complete dispensing logs, inventory reports, and utilization reports as required by partner organizations. Assist with limited manufacturer patient assistance medications as applicable. Maintain records necessary for audits, grant reporting, supplier reviews, and compliance monitoring. Quality Assurance and Compliance Ensure dispensary operations comply with clinic policies, procedures, and applicable regulations. Maintain accurate records within the pharmacy software system. Assist in developing and improving dispensary workflows and procedures. Monitor for medication safety concerns and communicate issues to providers promptly. Participate in inventory reviews, audits, and quality improvement activities. Team Collaboration and Supervision Work collaboratively with the Lead Provider and clinical staff to support patient care. Provide guidance, training, and support to pharmacy technicians, students, and volunteers assigned to the dispensary. Assist with onboarding, scheduling, and supervision of dispensary volunteers. Foster a positive, patient-centered environment consistent with the mission of St. Michael's Medical Clinic. Support clinic-wide initiatives and perform other duties as assigned. QUALIFICATIONS
Required High school diploma or equivalent. Minimum three years of experience in pharmacy, medication dispensing, inventory management, healthcare operations, or a related field. Demonstrated experience managing inventory and maintaining accurate records. Proficiency with computer systems and pharmacy management software. Strong organizational and multitasking abilities. Ability to maintain confidentiality and handle sensitive information appropriately. Preferred Pharmacy Technician certification. Experience with charitable pharmacy programs or medication assistance programs. Experience using BestRx pharmacy software. Experience supervising volunteers or support staff. Bilingual skills, particularly English and Spanish. Demonstrated ability to identify potential medication discrepancies, unusual refill patterns, inventory irregularities, or patient safety concerns and appropriately escalate issues to clinical providers for review. Frequent standing and walking throughout the workday. Ability to lift and move medication shipments and supplies up to 30 pounds. Ability to bend, reach, stoop, and perform repetitive hand movements. Ability to operate computers, phones, and standard office equipment. WORK SCHEDULE
This is a full-time position scheduled for approximately 32 hours per week. Typical clinic operations occur Tuesday through Friday; however, work schedules may be adjusted based on clinic needs, inventory requirements, supplier deliveries, training activities, or special events. This position is designated as a full-time employee position under St. Michael's Medical Clinic personnel policies and is eligible for benefits in accordance with those policies. MISSION COMMITMENT
