Immediately Job Description Xavier Catholic Schools is hiring an Assistant Activities Director! This position would work under our Activities Director, helping support middle school and high school activities in both fine arts and athletics. This is a full-time, contracted position.JOB SUMMARY
Serves as the Assistant Activities Director, supporting the Head Activities Director and building principals in the leadership, coordination, and supervision of both the middle school and high school activities programs. This position oversees extra-curricular and co-curricular activities including communications, music, performing arts, and related ensuring high-quality programming, effective event coordination, and alignment with school mission and policies.SPECIFIC JOB SKILLS, EDUCATION AND/OR EXPERIENCE
- Bachelor's Degree required (degree in Leadership, Education, communications, or related field preferred)
- Experience in coaching, education, directing, or program coordination preferred
- Evaluator Approval preferred
- Have a working knowledge of attendance policies and procedures
- Working knowledge of fine arts and athletics programming, performances, and event management
- Ability to effectively present information in one-on-one and small group situations to families and other employees of the school
- Ability to solve problems
- Attitude of joy and helpfulness
- Flexibility with changing priorities and processes
- Ability to remain calm under pressure while handling common inquiries, complaints, or identifying emergent situations
- Ability to work collaboratively with activities director, principal, teachers, students, and the community
- Ability to inspire students and staff to work together to create a positive school climate and culture
- Ability to be discreet and maintain confidentiality
- Practicing Catholic preferred
ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES
- Articulate the school's mission to employees and other stakeholders and solicit support in realizing the mission
- Represent the school in a professional, courteous and positive manner at all times
- Ensure compliance with State, Archdiocesan, and School regulations and policies
- Assist budgets, constitutions, financial procedures, and activities planning
- Work in coordination with the activities director and principal to develop the school's activity calendar
- Maintain calendar for scheduling and clearing of events
- Oversee scheduling of the theater space
- Coordinate the dissemination of all event communications throughout the school
- Arrange for location and equipment of events
- Arrange and maintain assembly schedules, equipment, facilities, and seating
- Develop schoolwide programs supporting the social emotional needs of students
- Supervise participants and spectators and screens contents of agendas
- Coordinate with administration the plan for events, including security, food services, tickets, and special events as well as any payment of personnel of events, other than officials at athletic events
- Supervise events including spectators
- Assist band, choir, cheer, dance teams, and concessions groups with organization and supplies
- Maintain high standards for quality of work produced
- Maintain required trainings as required by the State of Iowa, Archdiocese of Dubuque, and the local site
- Receive and schedule transportation requests
- Develop positive relationships with families and staff members, as well as with parishioners and the public
- Report activity results and disseminate team information for publicity
- Model appropriate behavior for all participants and other staff
- Demonstrate calmness in emergency and/or stressful situations and utilize good judgment in determining which matters to refer to the Activities Director and/or principal
- Be accountable for all materials and assist with inventorying, issuing and storing of materials
- Accept direction from superiors and carry out all requests
- Avoid criticizing, admonishing, or arguing with coaches or staff members within ears or eyes of participants or parents.
- Be flexible, reliable and willing to accept responsibility
- Assist with general housekeeping in areas used by programs
- Secure all doors, windows and locks and check lights before leaving building
- Provide basic first aid as needed
- Attend meetings as requested
- Recommend budgetary items for the next year
- Assist with planning and implementing of both in-season and out-of-season preparation programs
- Have responsibility for the end of season awards programs
- Work toward continuous quality improvement These duties are not all-inclusive.
PHYSICAL/MENTAL DEMANDS
While performing the duties of this job, the employee is required to maintain emotional control under stress. Work with frequent interruptions. Occasional prolonged and irregular hours, frequent standing, walking, talking, reaching, stooping, bending, kneeling, pushing, pulling, sitting, and listening. Lifts and moves items up to 50 pounds.WORKING ENVIRONMENT
