Job Description

WHITEFISH SCHOOL DISTRICT POSITION DESCRIPTION AREA
Head Advisor- Fall and Winter Seasons (stipend paid per season)
REPORTS TO
Activities Director and Principal and/or Superintendent
SUMMARY OF ASSIGNMENT
The Head Advisor is responsible for directing a total program while providing instruction in fundamental skills, strategy, and physical training. Beyond a degree of individual and team success, the advisor must foster moral values, pride of accomplishment, and self-discipline in student participants. All programs must be operated within the policies of the Montana High School Association (MHSA), Western A Conference By-laws, the School Board, and District Administration.
MINIMUM QUALIFICATIONS

Education :
High school diploma or equivalent.
Certifications :
Ability to obtain a certified First Aid and CPR card with AED training.
Compliance:
Must meet all MHSA requirements and complete NFHS Coaches Education Training and MHSA Sport Specific Rules Clinics on time.
PREFERRED QUALIFICATIONS
Valid Montana teacher certification and employment within the Whitefish School District. Previous successful coaching or competition experience in the assigned activity. Ability to handle stressful situations and maintain confidentiality regarding student and employment matters.
JOB RESPONSIBILITIES
(including but not limited to):
Program & Staff Leadership Philosophy & Strategy:
Establishes the fundamental philosophy, technical skills, and instructional techniques for the entire program.
Staff Supervision:
Trains and supervises a cohesive staff of assistant advisors; delegates specific duties and ensures staff follows district and state policies.
Professional Development:
Conducts regular staff meetings and encourages professional growth through clinic attendance and the study of new theories/procedures.
Performance Evaluation:
Analyzes staff effectiveness and completes formal evaluations for all assistants within two weeks of the season's end.
Chain of Command:
Operates within the administrative line of command, referring all requests or grievances through the Activities Director and Principal.
Administrative & Financial Management Budgeting:
Participates in the annual budget process and is strictly responsible for operating within approved appropriations.
Scheduling & Logistics:
Assists the Activities Director in scheduling contests, facilities, and transportation (including tournaments and special events).
Compliance Documentation:
Ensures all participants meet eligibility requirements, including paid activity fees, current physical examinations, insurance coverage, concussion awareness, and drug testing consent prior to the first practice/meeting.
Inventory & Equipment:
Responsible for marking, issuing, storing, and reconditioning all equipment. Conducts annual inventories and holds students accountable for lost or damaged school property.
Facility Oversight:
Examines facilities before and after use for safety and hygiene; ensures the building is secured (lights, locks, windows) by being the last to leave.
Student Welfare & Conduct Supervision & Safety:
Provides constant supervision and safeguards by being present at all practices, contests, and during all travel.
Academic & Moral Growth:
Monitors student-athletes' grades and conduct; fosters moral values, pride of accomplishment, and self-discipline.
Injury Management:
Completes formal reports for all injuries and maintains immediate communication with the athletic trainer.
Discipline:
Maintains strict discipline in locker rooms, facilities, and on buses (including monitoring cleanliness/eating).
Future Planning:
Assists students in their college or advanced educational selections and recruitment processes.
Compliance & Regulations Governing Bodies:
Operates the program in strict accordance with the Montana High School Association (MHSA), Western A Conference By-laws, School Board policies, and District Administration.
Mandatory Training:
Maintains valid First Aid/CPR/AED certification and completes all required NFHS and MHSA sport-specific clinics on time.
Rules Interpretation:
Maintains thorough knowledge of state and league regulations and interprets them consistently for staff, parents, and students.
Public Relations & Recruitment Communication:
Organizes parent meetings and maintains positive relationships with the news media, booster clubs, and fans.
Internal Recruitment:
Promotes the program within the school to recruit non-participating students.
Community Outreach:
Fosters strong relationships with youth feeder programs; remains visible at youth events to provide oversight and ensure the long-term success of the K-12 pipeline.
Media Management:
Ensures the quality and validity of all oral or written releases to local media regarding results and program information.

WORK ENVIRONMENT
The employee constantly works around others, works with the public, and works inside and outside. The noise level in the work environment varies, but is frequently loud. The employee must be able to meet deadlines with severe time constraints.
PHYSICAL DEMANDS
The employee is frequently required to walk and continuously required to stand. The employee will frequently bend or twist at the neck and waist while performing the duties of this position. The employee will occasionally be required to reach with hands and arms and stoop, kneel, crouch, or crawl. The employee continuously uses hand strength to grasp tools. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this position include close vision, depth perception, and peripheral vision.
MENTAL/MOTOR DEMANDS
While performing the duties of this job, the employee rarely performs routine work. The employee exercises flexibility (ability to shift from one task to another). Guidance and reinforcement are infrequently available. The employee frequently works within time constraints and must maintain attentiveness intensity. The employee is frequently involved in social interactions which require oral and written communication. Reasoning and exercising judgment are constantly used/required on the job. The physical demands, work-environment characteristics, and mental/motor demands described within this job description are representative of those that must be met by an employee to successfully perform the essential functions of this job. TERMS OF EMPLOYMENT AND EVALUATION
Terms:
Salary, benefits, and working conditions are determined by District Policy, Federal and State Law, and available funding.
Evaluation:
Performance is evaluated per the Master Agreement and/or the coaching/athletic handbook. For those classified employees employed under a written contract for a specified term, nothing contained in this job description shall create a property right beyond the specified duration of the employment contract. 3/26
