Job Description

Performing Arts Coordinator Summary The Performing Arts Coordinator (PAC) oversees all Educational Music and Drama activities for the Steubenville Catholic Schools system, scheduling all usage of Lanman Hall, coordinates school concerts, drama productions, general usage and outside organizations, trains users on equipment as necessary, and coordinates maintenance of equipment & furnishings in Lanman Hall. The Performing Arts Coordinator is also responsible for the negotiation of, contracting for, and staging of all activities which take place in Lanman Hall. Reports to the principal or designee, the PAC will also help guide the future and development of Lanman Hall. Essential Duties and Responsibilities Administration of Lanman Hall Develops plans, policies/procedures, and controls as related to goals and objectives and strategic planning for Lanman Hall. Serves as liaison with internal and/or external departments/groups by making calls on the groups. Along with the Director of Finance, develops and administers the budget for Lanman Hall. Submits financial and operational reports to the Principal and Pastors Council as necessary. Encourages membership in national, regional, and local organizations providing services to the arts and presenting organizations, and when possible, serves on boards and committees of these organizations. Oversees financial settlements and reports. Maintains the calendar for Lanman Hall. Remains current on new developments in the areas of performing arts center software, hardware, networks, telecommunications, training and maintenance. Analyzes renter data, technical drawings, sketches, and plans for the purpose of developing best practices for meeting production requirements while ensuring safety and staying within budget limitations; and for the purpose of providing technical arts training for CCHS students. Calculates costs of plans, drawings, and sketches for the purpose of providing designers, directors and other interested staff of the budgetary impact of construction choices while maintaining budget limits. Collaborates with in-district users, public renters, professional designers and director providing for their technical needs for the purpose of supporting program development and facilitating school, district and community performing arts programs. Present at all functions to provide on-the-spot supervision; to assist in providing contract obligations to performers; and, to insure set-up completion and proper handling of the audience. Drafts applications and proposals to submit to fund granting authorities such as government and educational foundations. Promotes Steubenville Catholic Schools on local, state and national levels through conferences, workshops, seminars, and technology associations. Coordinates with potential performing arts center renters to manage relationships, including maintenance, hardware and software upgrades, and ongoing development. Collaborates with band and choral directors for scheduling and other functions as necessary. CCHS student activities will remain priority when scheduling events within Lanman Hall. Reports incidents (e.g. accidents, theft, misuse of equipment) for the purpose of maintaining a safe performing arts center environment for students, staff and public. Trains, supervises, and monitors the work of students and assistants for the purpose of providing technical education in a safe environment. Maintain an inventory of performing arts center technology equipment, warranty information, and software licenses to insure district compliance to copyright laws and guidelines. Responsible for box office; front-of-house, auditorium, rehearsal and storage areas. Manages all fiscal matters including purchasing and accounting functions related to Lanman Hall. Prepares and reviews facility-use and artistic contracts. Present at all functions to provide on-the-spot supervision; to assist in providing contract obligations to performers; and, to ensure set-up completion and proper handling of the audience. Administers the facility-use policy of CCHS by providing for the free use of the Lanman Hall facilities to Non-profit organizations. Direct the billing and accounting procedures for collection of facilities-use fees and rentals from public and commercial usage. Maintains an active computerized mailing list of patrons, media representatives and senior adults who attend PAC events. Performs other duties as assigned. Use of Facilities Exercises managerial control over Lanman Hall events. Supports philosophy of programming for cultural, educational, and entertainment events. Plans and oversees scheduling of all events. Negotiates and contracts for all events in Lanman Hall. Develops and administers all educational/outreach programs for Lanman Hall. Serves as contact for educational opportunities. Oversees the creation and management of maintenance and improvements to facilities and equipment. Performs other duties as assigned. Marketing/Fund Raising In conjunction with the Director of Marketing, develops, reviews, and controls all Lanman Hall marketing brochures, advertisements, and other promotional materials. Develops and oversees the execution of strategies for gaining local and regional recognition of Lanman Hall public events as a leading performing arts organization and a major local cultural resource. Implements fundraising development strategies, including research of funding sources, corporate gifts, special events, etc. Coordinates grant requests, providing financial and budgetary information. Develops and implements strategies and plans to stimulate audience growth for programs in all Lanman Hall facilities. Perform other duties as assigned. Supervisory Responsibilities Manages and supervises technical and clerical personnel.
QUALIFICATION REQUIREMENTS

Education and/or Experience Bachelor's degree in Arts Administration, Business Administration, or related field or training and experience deemed equivalent. Demonstrated ability to direct and/or coordinate the efforts of diverse personnel toward a single goal. Ability to work independently. Experience in management. Demonstrated interpersonal and public relations skills. Demonstrated communication skills. Demonstrated ability to plan and organize events effectively. Demonstrated ability to present a positive public image. Must have valid driver's license Five years of related experience preferred. Knowledge and Skills Strong administrative skills and an understanding of the challenges of performing arts management. Demonstrated experience in management of and in operational activities for performing arts, entertainment and rental facilities. Ability to provide strong artistic direction and excellent arts management skills, including negotiating and scheduling. Ability to drive. Knowledge of use of computer spreadsheet and word processing programs. Knowledge of business administration principles and practices; experience in working with capital and operating budgets. Knowledge of organization and management principles, practices, and techniques as applied to presenting facilities. Good knowledge of accounting and budgeting practices and principles. Ability in planning, coordinating, scheduling, and supervising the work of others. Skill in establishing and maintaining effective working relationship. Outstanding skill in both written and oral communication.
