Position Summary:
Provides customers with courteous customer service in person or over the phone.
Position Responsibilities:
Greets and welcomes customers in a responsive, courteous, professional manner. Educates customers on departmental offerings. Responds to resident inquiries, requests, and work orders. Answers telephone and returns all phone messages on a daily basis. Responds to email inquiries promptly. Enters information into the database and uploads information to the website. Uses database and other web-based tools to assist with reporting and transactions. Processes ticket and merchandise sales and enters relevant data into the database. Performs other administrative duties such as printing posters, updating bulletin boards, seminar binders, etc. Orders supplies and Sun City Merchandise. Publishes daily setup reports and other reports. Participating as event support staff as required. Special projects as requested by management. May open or close office area following standard procedures. Maintains work area and reception area in a clean, orderly condition. Performs other duties as assigned or requested.
Knowledge, Skills and Abilities:
Commitment to excellence and high standards. Excellent written and oral communications skills. Highly effective interpersonal skills, problem-solving abilities, and communication skills. Must be able to effectively communicate and speak English in a clear and understandable voice so that various types of communications may be conducted with people of various levels of education and capabilities, including the exchange and receipt of information over the telephone with people at all levels and from various backgrounds. Working proficiency in Microsoft Office to include Outlook, Word, and Excel. Ability to learn and understand databases and department-specific software packages. Detail-oriented and the has the ability to work on more than one assignment at a time with frequent interruptions, changes, and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances. Ability to work effectively and professionally with all internal and external customers.
Physical Demands & Work Environment:
Capable of working extended hours, including evenings, weekends, and holidays as necessary. Able to see well enough to read faint or partially obscured writing or printing, with corrective lenses if needed. Position involves sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying, and moving objects that can weigh up to 25 lbs. This movement can occur throughout the day. Must also be able to climb several flights of stairs if necessary. This position will alternate between working indoors in a controlled climate and proper lighting, to an outdoor setting with variable climate and lighting. Must have finger dexterity for typing/using a keyboard. For safety reasons, the employee must remain alert to working conditions and aware of safety, health, and environmental concerns.
Experience Required:
High school diploma or GED and three (3) years of full time, paid, professional experience in customer service, administrative assistance, or comparable role.
