Full Job Description Description:
SUMMARY:
This position will support the firm's billing department through the screening of new and existing clients for potential conflicts, performing due diligence on new business opportunities, and ensuring compliance with the Rules of Professional Conduct and client outside counsel guidelines.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Primary contact for processing new matter requests in the firm's conflicts software. Perform conflict checks and other due diligence related to new matters. Review new matters for accuracy and completion, confirming that required documents such as engagement letters, outside counsel guidelines, and waivers are attached. Complete data entry of new matters into the firm's conflicts software. Perform general client matter maintenance, including updating client addresses, names, or corporate trees. Track and follow up on the status of executed engagement letters. Close matters in the firm's billing and conflicts systems. Assist with outside counsel guidelines which may include tasks such as uploading and integrating documents to an outside counsel management database and following up with attorneys to confirm that client outside counsel guidelines are the most recent version. Other responsibilities as needed.
Requirements:
The ideal candidate should have the ability to understand the rules of professional conduct for lawyers in the various jurisdictions in which the firm practices and apply those rules as needed in their daily responsibilities Bachelor's Degree (preferred) Experience in working with large databases in a technology-driven environment Ability to maintain strict confidentiality and adhere to firm policies and procedures Excellent oral and written communication skills Attention to detail, accuracy and good organizational skills Strong time-management skills and ability to work under pressure in a fast-paced environment Strong client service focus and ability to work effectively in a team environment Self-motivated and works with minimal supervision
