Part-Time Authorization & Intake Coordinator Location:
Flagstaff, AZ Schedule:
Part-time, Monday-Friday (afternoons) About Kaibab Behavioral Services At Kaibab Behavioral Services, our traveling ABA team provides compassionate, evidence-based ABA therapy across Northern Arizona. Our mission is to support children, families, and communities through high-quality care — and that includes ensuring our behind-the-scenes processes run smoothly. We are seeking an Authorization & Intake Coordinator to join our team and help create a smooth, supportive experience for the families we serve while strengthening the operational systems that support high-quality clinical care. Position Overview The Authorization & Intake Coordinator will support our Billing Specialist by helping manage insurance claims, submitting and tracking authorizations, leading our client intake protocols and maintaining accurate client records. This is an excellent role for someone with great customer service skills who is detail-oriented, organized, and eager to learn about medical billing and insurance processes in a supportive, mission-driven environment. The work done in this role directly contributes to helping children and families access and maintain essential ABA services. This role requires strong follow-through, responsiveness, and the ability to manage multiple priorities with professionalism and attention to detail. Prior ABA or insurance authorization experience is helpful, but we are also open to candidates with strong administrative, customer service, or healthcare experience who are eager to learn and grow. The Authorization & Intake Coordinator reports directly to the General Manager. This role is ideal for someone who: Enjoys learning new systems and solving problems Can adapt quickly in a growing, fast-paced environment Communicates professionally and compassionately with families and staff Takes pride in accuracy, follow-through, and organization Is proactive, dependable, and willing to jump in where needed Wants to make a meaningful impact behind the scenes in the ABA journey for children and families Responsibilities Assist in preparing and submitting insurance claims Support tracking of claim status, payments, and denials Help obtain, update, and track insurance authorizations for services Lead our new clients through intake protocols and procedures to ensure a smooth onboarding experience Provide customer service support — answering phones, responding to emails, and assisting families with billing/authorization questions Enter and maintain accurate billing and authorization data in company systems Communicate with internal staff regarding missing documentation or authorization needs Assist with payment follow-up and account communications as needed Provide general administrative support to the Billing Specialist and leadership team Maintain timely communication with staff and families through email, phone, meetings, and internal communication systems Ensure all processes follow HIPAA and insurance compliance standards Support day-to-day administrative operations to help maintain an organized and professional office environment Represent the agency during open office hours for administrative needs and insurance audits Qualifications Strong attention to detail and accuracy Excellent organizational and time management skills Clear communication skills, both written and verbal Proficiency with computers and willingness to learn billing software Proficiency with Google Workspace (i.e. Gmail, Google Docs, Google Sheets, etc.) Experience in healthcare, billing, or insurance authorizations preferred Discretion and professionalism with confidential financial information Must be able to pass a background check Must have a positive attitude and be a team player Compensation & Benefits Competitive hourly rate (based on experience) Ability to accrue up to 5 paid sick days per year 1 paid mental health day per year 401k + matching Training provided with growth opportunities Supportive, mission-driven work environment
