Job Description The Patient Service Representative - Front Desk is a pivotal role in healthcare, focused on efficiently processing incoming and outgoing referrals and supporting the Medical Assistants. This position encompasses a range of responsibilities, including patient registration, authorizations, verifying insurance eligibility, and scheduling appointments, all while adhering to ethical, administrative, legal, and regulatory standards. A crucial aspect of this role is the maintenance of patient and employee confidentiality. The coordinator ensures smooth and compliant operations within the health care system, facilitating timely and organized patient care.

Front Desk Receptionist Hourly Range:
$21.00 - $22.00 (based on level of experience) Key Responsibilities Schedule new and follow-up appointments accurately and efficiently. Maintain ongoing tracking and appropriate documentation on referrals to promote team awareness and ensure patient safety. Ensure complete and accurate registration, including patient demographic and current insurance information. Handles requests from third-party referral sources and provides relevant information and data. Assemble information concerning the patient's clinical background and referral needs. Per referral guidelines, provide appropriate clinical information to referring physician. Ensure prior approval requirements are met, including insurance eligibility and authorization. Review details and expectations about the referral with patients. Ensure that referrals are addressed in a timely manner. Ensure the patient's chart is up to date with information on physician notes, consults, hospitalizations, ER visits, and test results. Checks all pages in the record to verify correct patient information. Interprets and implements policies relating to the disclosure of confidential patient medical information. Analyzes and answers correspondence requests in compliance with applicable policies, procedures, and regulatory requirements/statutes. Reviews, and completes fax inboxes in a timely manner. Demonstrates a courteous, respectful, and helpful attitude when working with patients. Reviews and completes EHR tasks as assigned. Follow employee policy/procedure manuals and adhere to HIPAA and OSHA regulations. Documents patient transactions, phone conversations, observations, and orders in medical records according to the clinic's policies and procedures. Cooperates with other personnel to achieve department objectives and maintain positive employee relations. Answer incoming calls and assist patients with inquiries, appointments, and general information. Handle outgoing medical records requests in a timely manner and faxes. Returning voicemails and respond to messages in a timely manner. Assist in other administrative tasks as needed to support the overall functioning of the practice. Perform all other duties as assigned by the Practice Manager. Qualifications High School diploma or equivalent certification required. Previous experience with referrals and medical records preferred. Medical Administration Certification preferred. Excellent customer service and communication skills. Strong organizational skills and attention to detail. Ability to work independently and as part of a team in a high call volume environment. Basic computer skills, including proficiency in Microsoft Office and Epic system preferred. Experience in insurance and insurance authorization. Previous experience in a medical office, hospital, or healthcare setting preferred. Bilingual Spanish a plus.
