Job Description

Job Summary We are seeking a dedicated and detail‑oriented Medical Office Assistant to join our mobile wound care team. In this vital role, you will serve as the operational backbone of our practice, ensuring seamless coordination across patients, providers, home health agencies, and insurance partners. Your energetic approach, strong organizational skills, and commitment to service excellence will support efficient patient flow, accurate documentation, and high‑quality communication in a fast‑paced mobile clinical environment. This position offers an exciting opportunity to contribute directly to patient care while developing deep expertise in medical administration, mobile care logistics, and payer coordination. Responsibilities Serve as the primary point of contact for patients receiving in‑home wound care services. Coordinate mobile provider schedules, ensuring timely routing and efficient visit planning. Communicate appointment windows, visit expectations, and preparation instructions to patients and caregivers. Track wound care plans, follow‑up intervals, and episode‑of‑care timelines to ensure continuity. Support clinicians by preparing charts, updating wound documentation, and ensuring all required forms are completed. Manage appointment scheduling, and coordinate patient intake processes using various Electronic Medical/health Record (EHR) system. Verify insurance coverage, perform insurance eligibility checks, and process claims accurately for Medicare, Medicaid, private insurance, and other payers. Assist with billing procedures by submitting claims, following up on unpaid accounts, and managing collections related to medical billing activities. Support clinical staff with tasks such as preparing care plans, managing medical supplies, and assisting with patient examinations when needed. Demonstrate excellent phone etiquette while handling multi-line phone systems; provide outstanding patient service by addressing inquiries promptly and professionally. Utilize computer skills including Microsoft Office Suite for documentation purposes; perform data entry with high accuracy using 10-key typing skills. Ensure compliance with HIPAA privacy standards during all aspects of health information management and documentation review. Experience Prior experience working in a medical office environment or healthcare setting is required; clinic or dental clinic experience is highly preferred. Demonstrated proficiency with EMR/EHR systems. Strong knowledge of medical terminology, ICD coding (ICD-9/10), CPT coding, and medical billing procedures is necessary for success in this role. Experience with insurance verification processes and Medicare/MediCal billing is highly desirable. Bilingual abilities are a plus to effectively communicate with diverse patient populations. Previous clerical or administrative support experience in a healthcare setting will help you excel in managing office operations efficiently. Excellent customer service skills combined with professional phone etiquette are vital for creating a welcoming environment for patients.
