Ultimate Staffing Services is actively seeking an experienced Intake Coordinator to join their client's dynamic behavioral health team. This is a high-impact, front-line role where the successful candidate will serve as a key point of contact during the admissions process, ensuring accurate intake, regulatory compliance, and compassionate support for individuals and families during critical moments.
Description :
Answers and triages all inquiry calls for skilled home health services, determining intake appropriateness in collaboration with RN and authorization staff. Confirms staffing availability and appropriate resources prior to accepting referrals. Partners with authorization personnel to verify payer eligibility, including Medicare and Medicaid, for all referrals. Reviews service orders to ensure qualified and competent staff are assigned to meet authorized care needs. Collaborates closely with RN Coordinators to identify potential admission issues and ensure clinical review of diagnoses, paperwork, and physician orders. Accurately enters and verifies demographic, contact, and location information while coordinating with internal teams, external healthcare professionals, clients, and families. Maintains accurate records for admissions, SOCs, staffing assignments, and non-admitted referrals, ensuring timely referral openings or proper documentation. Works with marketing and authorization teams to identify referral challenges, payer updates, and referral source trends. Upholds HIPAA compliance, confidentiality standards, and provides clerical and administrative support as needed, including additional duties and ongoing professional development.
Minimum Qualifications:
High School Diploma or GED required; completion of a Medical Assistant program or medical administrative background preferred Experience in admissions and staffing with progressively increasing responsibilities Demonstrated proficiency with computer applications and systems High degree of accuracy, attention to detail, and commitment to confidentiality Strong data entry skills Excellent analytical, problem-solving, and decision-making abilities Effective verbal, listening, and written communication skills Strong organizational skills with the ability to manage time and stress effectively Demonstrates a sense of urgency and ability to meet deadlines Ability to work both independently and collaboratively as part of a team All qualified applicants will receive consideration for employment without regard to race, color, national origin, age, ancestry, religion, sex, sexual orientation, gender identity, gender expression, marital status, disability, medical condition, genetic information, pregnancy, or military or veteran status.
