About the Role The Front Office Specialist is a patient-centered, detail-oriented role that serves as the first point of contact for patients and visitors. This position plays a vital role in creating welcoming, professional, and positive patient experiences while supporting efficient clinic operations. This is an excellent opportunity for someone who enjoys working with people, thrives in a fast-paced environment, and takes pride in delivering excellent service. Prior medical experience is helpful but not required , we provide training and support to help new team members succeed. What You'll Do Greet patients and visitors warmly and professionally, creating a positive first impression Perform accurate and efficient patient check-in and check-out while supporting clinic flow and minimizing wait times Schedule patient appointments according to physician instructions and company guidelines Collect, verify, and enter patient demographic and insurance information into the Electronic Medical Record (EMR) Scan, upload, and maintain patient and clinic documentation within the EMR Verify insurance eligibility, confirm prior authorizations, and prepare patient charts Collect patient financial responsibilities, including co-pays and outstanding balances Assist patients who may be ill, anxious, or distressed with empathy, professionalism, and discretion Participate in training and mentoring of new front office team members as assigned Actively use, support, and model the adoption of organizational change What We're Looking For High school diploma or equivalent required; Associate's degree or higher preferred At least 1 year of patient care or customer service experience required (healthcare experience not required) Experience working in a fast-paced medical or customer-facing environment Willingness and ability to travel regularly to satellite clinic locations Ophthalmology or optometry practice experience is a plus, but not required Skills That Help You Succeed Professional demeanor with strong interpersonal and communication skills Demonstrated ability to maintain accuracy, consistency, and attention to detail Proficiency with healthcare technology, including EMR/EHR systems and communication tools Working knowledge of relevant medical scheduling, insurance, and billing processes Strong organizational and prioritization skills to support smooth and efficient clinic flows Ability to remain calm, professional, and effective in fast-paced or high-pressure environments Ability to work independently while also collaborating effectively within a team Commitment to patient confidentiality and compliance with HIPAA and company policies Openness to change and innovation, with the ability to learn, adapt to, and support evolution in a growing organization Ready to Make a Difference?
