This role is responsible for providing exceptional customer service, managing patient check-in and check-out processes, scheduling appointments, verifying insurance, collecting payments, and ensuring accurate patient information is maintained in the electronic medical record system. The ideal candidate is bilingual, customer-focused, organized, and capable of thriving in a fast-paced healthcare environment. Essential ResponsibilitiesPatient Reception & Customer Service Greet patients and visitors in a professional and welcoming manner Answer incoming phone calls and direct inquiries appropriately Assist patients with appointment scheduling, rescheduling, and cancellations Address patient concerns and escalate issues when appropriate Maintain a positive patient experience at all times Registration & Check-In Verify patient demographics and insurance information Complete patient registration and intake procedures Ensure required consent forms and documentation are completed Accurately update patient records in the EMR system Verify eligibility and benefits when required Check-Out & Scheduling Schedule follow-up appointments and referrals as directed Review provider orders and ensure next steps are communicated to patients Coordinate specialist referrals and appointment requests Provide patients with visit summaries and follow-up instructions Insurance & Collections Verify insurance coverage and obtain required authorizations when applicable Collect copays, deductibles, balances, and self-pay fees Reconcile daily collections according to office procedures Assist patients with billing questions and payment arrangements Administrative Support Maintain accurate records and documentation Scan and upload documents into the EMR Assist with incoming and outgoing faxes Support clinic operations and special projects as assigned Key Performance Indicators (KPIs)Patient Experience Maintain patient satisfaction score of 90% or greater Receive fewer than 3 patient service complaints per quarter Answer incoming calls within established service standards Registration Accuracy Maintain patient registration accuracy of 98% or greater Maintain insurance verification accuracy of 98% or greater Reduce demographic and insurance errors resulting in claim denials Scheduling Performance Schedule follow-up appointments within 24 hours of provider request Maintain provider schedule utilization goals established by leadership Maintain appointment confirmation rate of 90% or greater Financial Performance Collect 95% or greater of expected copays at time of service Maintain accurate daily cash reconciliation with zero shortages Ensure patient balances are addressed according to office procedures Productivity Process patient check-in within 5 minutes of arrival Process patient check-out within 5 minutes of visit completion Complete document scanning and record updates within 24 hours QualificationsRequired Bilingual English and Spanish High school diploma or GED Minimum one year of customer service experience Strong communication and interpersonal skills Basic computer proficiency Preferred Previous medical office or healthcare experience Experience with electronic medical records (EMR), particularly with Athena Insurance verification experience Knowledge of Medicare Advantage plans Experience collecting copays and patient payments Physical Requirements Ability to sit, stand, and walk for extended periods Ability to lift up to 15 pounds occasionally Ability to work in a fast-paced patient care environment Schedule Full-Time Hourly, Non-Exempt .
