  • Full-time We are seeking a Medical Front Desk Recptionist for a Physical Therapy Patient & Front Desk Operations Greet and welcome patients and visitors with a professional, friendly demeanor in both English and Spanish Manage a multi-line phone system; answer, screen, and route calls promptly and professionally Schedule, confirm, and reschedule patient appointments using the practice management system Collect and accurately process co-pays, co-insurance, and outstanding balances at time of service Maintain a clean, organized, and welcoming reception area at all times Scan, file, and maintain electronic and physical patient records in compliance with HIPAA New Patient Onboarding Serve as the primary point of contact for new patient inquiries in English and Spanish Collect and verify all new patient demographics, insurance information, and health history Explain clinic policies, consent forms, and financial responsibilities clearly to patients and families Coordinate referral documentation from physicians and ensure all required paperwork is complete prior to the first visit Guide Spanish-speaking patients through the intake process with sensitivity and professionalism Insurance Verification Verify patient insurance eligibility and benefits prior to each appointment via online portals and phone Confirm coverage details including deductibles, co-pays, out-of-pocket maximums, and visit limits for physical therapy services Identify in-network vs.
out-of-network status and communicate patient financial responsibility clearly Update insurance information in the system and flag any discrepancies or coverage issues to the billing team Re-verify insurance benefits at regular intervals for patients undergoing extended treatment plans Prior Authorizations Initiate and manage prior authorization requests for physical therapy evaluations and ongoing treatment Submit authorization requests to insurance carriers via web portals, fax, and phone as required Track authorization status and proactively follow up to ensure approvals are in place before patient visits Maintain accurate records of authorization numbers, approval dates, and approved visit counts Coordinate with the clinical team and billing department to resolve authorization denials or appeals Communicate authorization updates and limitations to patients in a clear, compassionate manner Required Fluent in both English and Spanish — written and verbal (required, not preferred) Minimum 2 years of front desk or administrative experience in a healthcare setting (physical therapy, orthopedic, chiropractic, or similar preferred) Demonstrated experience with insurance verification for major carriers (BCBS, Aetna, UnitedHealthcare, Cigna, Medicare, Medicaid, etc.) Hands-on experience processing prior authorizations with health insurance companies Proficiency with electronic health records (EHR) or practice management software (experience with WebPT, Therabill, or similar a plus) Strong understanding of healthcare terminology, CPT codes, and medical documentation requirements Excellent phone etiquette and communication skills with patients of diverse backgrounds High school diploma or equivalent required; Associate's degree or healthcare administrative certificate preferred Preferred Skills & Attributes Experience in a physical therapy or rehabilitation setting Knowledge of Medicare and Medicaid billing rules and documentation requirements Ability to manage a high-volume front desk while maintaining accuracy and a positive attitude Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment Compassionate, patient-focused mindset with the ability to de-escalate difficult situations calmly Team player who collaborates well with clinical and administrative staff
