Job Description

TITLE:
Membership Coordinator, Exempt
DEPARTMENT

Club Director
PRIMARY FUNCTION
Oversee the front desk (first impressions are everything!); answer phones, interact with members parents/guardians, scan children in and out of the Club using ezChildTrack software system; data entry.
Essential Job Responsibilities:
Register new members and participate in their club orientation process Maintain club communication regarding application and signup procedures Manage and edit the scans of members and create membership cards Audit member scans in ezChildTrack system, ensuring accuracy for grant reporting Ensure member profiles are current and correct Support supervisors in keeping all members' accounts balanced and up to date, including creating invoices and statements Enroll, charge, and apply payments to member's accounts monthly Conduct monthly audits of accounts and determine resolutions Responsible for settling daily deposits Ensure a productive work environment by participating in weekly branch staff meetings Assist supervisors when needed, i.e. call vendors, order supplies, etc. Effectively implement and administer programs, services and activities for drop-in members and visitors Serve a first point-of-contact for parents, visitors, and outside organizations Serve as a role model and mentor to members and peers Manage communication and publish information regarding monthly calendars and programming on the ezChildTrack site Produce permission slips and registration information for members and families Maintain volunteer and visitor logs according to BGCA standards Maintain crisis manuals and logs, ensuring they are easily accessible Administer medication as per safety procedures outlined in employee manual Organize and maintain front desk area and storage areas, ensuring it is accessible for all employees Program Supervision Provide active supervision to members, providing motivation and encouragement Additional Responsibilities 1. May participate in special programs and/or events 2. May be required to drive Club van 3. Complete trainings as required 4. May be required to help out in multiple areas as needed 5. Clean area as needed at the end of day
RELATIONSHIPS
Internal:
Maintains close, daily contact with Club staff (professional and volunteer), Club members, and supervisor to receive/provide information, discuss issues, explain guidelines/instructions; instruct; and advise/counsel.
External:
Maintains contact with external community groups, schools, members' parents and others to assist in resolving problems. Skills/Knowledge Required High School diploma or GED Ability to multi-task Computer literate Experience working with children Ability to motivate youth and inspire positive behavior Ability to deal with the general public Ability to organize and supervise members in a safe environment Must be flexible and be able to work well with other team members Problem solving skills & common sense Must be CPR and First Aid Certified (We will provide training) Physical Demands These physical demands are representative of the physical requirements necessary for an employee to successfully perform the essential functions of this position.
