Full Job Description Position Summary:
The Intake Coordinator supports the Utilization Management (UM) team through interactions with providers, facilities, and/or members. The Coordinator handles all administrative and technical functions of the authorization process including intake, logging, tracking, and status follow-up. The requests may come through phone, fax or other electronic methods, and the coordinator ensures all information is entered accurately in adherence with all regulatory compliance requirements and service levels.Essential functions:
Maintain a current knowledge base of Utilization Management process and timelines. Manage intake of provider requests for medical necessity determinations, through various modes of submission include but not limited to, secure fax, e-form or telephonic requests. Processes all incoming and outgoing correspondence/faxes in accordance with required standards and within respective timeliness guidelines. Create UM review requests in accordance with Customer's UM policies and procedures, and documentation guidelines. Provide current review status updates to requesting provider offices or receipt confirmations. Provide information regarding clinical information requirements, additional clinical information requests and education on Customer's UM processes and requirements to providers. Uses good listening skills, conducts outreach calls, collecting data according to script, tools, and protocols meeting both productivity and performance expectations as identified by unit supervisor/or designee. Conducts all calls in a courteous and customer service friendly manner. Refers as appropriate when indicated by workflow (appropriately processes or triages calls from members and providers). Creates, updates, maintains and/or closes authorizations or tasks for services as assigned within client process guidelines and routes case to the appropriate associates based on established guidelines. Manage high-volume inbound and outbound calls, providing accurate information, resolving customer inquiries, and documenting interactions in line with company protocols. Maintain professionalism and efficiency on the phone, de-escalating concerns when needed and ensuring timely follow-up to support customer satisfaction and service goals. Onsite work (Tampa office): Process and fulfill high-volume outbound correspondence, ensuring accuracy and timely delivery Utilize office systems to generate, print, and fulfill outbound correspondence efficiently and accurately Execute high-volume letter fulfillment operations, maintaining strict quality standards and meeting daily production targets Document scanning and inventorying Inventory maintenance- paper, ink, envelopes, etc.

Verbal and written communication skills Organizational skills and attention to detail Ability to work independently whether remote or onsite Proficient with Microsoft Office Suite or related software Ability to work in a fast-paced environment Travel required: Staff that live within the North Tampa area or as assigned will be required to work a hybrid schedule and/or be trained to provide back-up support to the Toney Healthcare business office location in Tampa, FL. See 'Onsite Work' bullet above.Required education and experience:
Associate degree preferred; High School Diploma/GED required 1-2 years of Customer Service experience Minimum of 2 years of recent health plan experience Experience in UM/Prior Authorization Preferred education, certifications and/or experience: N/A Physical Requirements/Work environment: Prolonged periods of sitting at a desk and working on a computer (requires using keyboard, mouse). Ability to speak, hear, and comprehend both written and verbal communications.CODES:
