Job Summary The Front Office Coordinator is the first point of contact for patients and visitors at our medical office. This role is responsible for creating a welcoming environment while ensuring the smooth and efficient operation of front desk duties. The coordinator handles patient check-in/checkout, scheduling, insurance verification, and communication with clinical and administrative staff to support the overall function of the practice. Key Responsibilities Greet patients and visitors warmly and professionally upon arrival Answer incoming phone calls, respond to inquiries, and route messages appropriately Schedule, confirm, and update patient appointments using the electronic medical record (EMR) system and Phreesia Verify insurance eligibility and collect co-pays or outstanding balances at time of service Process patient check-in and check-out, including distributing forms and updating demographics Maintain a clean and organized front desk and waiting area Coordinate with clinical staff to ensure patient flow and minimize wait times Assist with medical records requests and faxing documents Handle incoming and outgoing mail and deliveries Stock coffee bar and water cooler. Keep waiting area neat Uphold HIPAA and patient confidentiality standards at all times Support administrative projects and office tasks as needed Qualifications High school diploma or equivalent required; associate degree or medical office certification preferred 1+ year of experience in a medical or healthcare front office setting preferred Familiarity with EMR systems (e.g., Athena, Epic, etc.) Strong communication and interpersonal skills Excellent organizational and multitasking abilities Professional demeanor with a focus on customer service Ability to handle sensitive information with confidentiality and discretion Capability to work independently as well as part of a team Fast-paced clinical environment Frequent interaction with patients, staff, and insurance providers Core Competencies Patient-centered approach and genuine empathy for those experiencing mental health challenges Ability to explain complex medical concepts in an accessible language Problem-solving skills to navigate scheduling challenges Adaptability in a growing and evolving practice Professional demeanor and strong ethical standards Our Beliefs 1.
