OVERVIEW
We are a pain medicine practice with locations in Skokie, Aurora, and Arlington Heights. We are hiring a Medical Office Coordinator to support our growing operations. You own intake, scheduling, and front-office workflow. You ensure every patient moves through a smooth, organized, professional process from the first call onward.
WHAT YOU WILL DO 1.
Intake and Scheduling Answer incoming calls from new and existing patients within the first ring or two Schedule new patient evaluations across all locations Schedule patient follow-up appointments Verify insurance and other patient information at intake Rebook no-shows and cancellations within 24 hours 2. Front Office Operations Greet patients on arrival, manage check-in flow Manage incoming and outgoing fax Maintain a clean, calm waiting area and exam room turnover 3. Patient Communication Set up automated appointment reminders and rescheduling notices in the EMR at the time of scheduling Respond to patient questions about upcoming appointments, what to bring, and what to expect Escalate questions to the office manager promptly Coordinate transportation and paperwork readiness 4. Workflow Coordination Daily end-of-day check with the office manager to surface anything that needs decision or attention before the next clinic day Use our electronic health record system for scheduling, documentation, and communication 5. Records and Compliance Maintain accurate, organized, and confidential records Document all communications thoroughly in the case management system Follow practice policies and HIPAA compliance standards 6. Continuous Improvement and Team Collaboration Surface gaps in workflows when you see them Bring ideas to work more efficiently Participate in training and performance reviews
QUALIFICATIONS
Required At least 1 year of experience in a medical office, clinic, or similar healthcare front-office role Comfortable with electronic health record systems Professional written and verbal communication Reliable, on-time, organized, and able to manage multiple priorities Reliable transportation to commute to Skokie, Aurora, and Arlington Heights as scheduled Comfortable working with patients who are in pain or anxious. You stay calm, kind, and professional. Preferred Bilingual English / Spanish Experience welcome from private practice or hospital settings Schedule Monday through Friday with occasional Saturday coverage (typically one Saturday per month at our Aurora location).
Approximate weekly hours:
32 to 38 depending on clinic flow.
