Job Description:
We are looking for a self-motivated, critical thinking intake coordinator to ensure effective scheduling of potential clients, collection of documents and information relating to potential clients, and preparation of file for attorney review while ensuring a smooth consumer experience. Practice area of employment law. This position is a full-time position. Does Our Office Fit You? Our office handles diverse files in the area of employment law, including transactional and litigation matters, in areas ranging from non-competes, discrimination, and wage law violations. Our ideal candidate will have a desire to work independently and efficiently to advance our client's needs. Critical thinking and attention to detail under pressure are a must. Position Responsibilities may include, but not limited to:
- Answer and direct incoming calls
- Schedule potential clients
- Collect necessary documentation from potential clients
- Organize potential client files in advance of attorney meeting
- Meet with potential clients
- Review intake forms with potential clients
- Collect information from potential clients
- Prepare file for attorney evaluation
- Draft correspondence and legal documents
- Conduct investigations
- Any other duties as assigned
Required Skills and Experience:
- High school diploma or equivalent
- College level coursework
- Knowledge of Word, Nuance PDF, Google Business Apps, Outlook and case management software
- Ability and willingness to learn new technologies in evolving environment
- Demeanor must be courteous, positive, willing to assist clients, and willing to learn
- Ability to think critically about client's needs
- Independent work ethic with ability to participate as a team member
- Excellent verbal and written communication skills
- Familiarity with law, legal procedures and protocols, and court system, specifically Lake County, Northern District of Illinois, and various administrative agencies
- Satisfactory knowledge of day-to-day operations of a legal office
- Ability to juggle multiple activities and work under pressure
- This position must pass a post-offer background and drug test
Preferred Skills and Experience:
- Legal assistant or paralegal certificate or certification or pending
- Familiarity with Illinois Code of Ethics for Paralegal
- Bilingual or multilingual
- Experience in a litigation firm handling employment matters
- Experience in small office setting
