Be Optimal Holistic Health Center is seeking a part-time Patient Support Specialist to join our front desk team. In this vital role, you will work alongside our existing patient support team to welcome patients, orchestrate daily appointment flow, and ensure every person who walks through our doors feels supported and cared for. You will actively support our practitioners with direct, hands-on patient care and be fully trained to facilitate specialized wellness therapies. Reporting directly to our Office Manager, you will be part of a collaborative administrative team that acts as a crucial anchor for our providers and patients alike. Key Responsibilities Team-Based Patient Care:
Work collaboratively with the front desk team to warmly greet patients, manage the check-in/check-out process, and collect payments efficiently.
Shared Schedule Management:
Assist in managing multi-line phones and digital scheduling to optimize appointment flow for multiple holistic providers.
Administrative Support:
Help maintain accurate patient digital files, handle correspondence, and assist the Office Manager with daily administrative tasks.
Clinic Flow & Presentation:
Collaborate with the team to keep the reception area pristine and coordinate with providers to ensure appointments run smoothly and on time.
Patient Advocacy:
Share responsibilities in answering general questions about our holistic services, supplements, and clinic policies with empathy and clarity.
Clinical & Therapy Support:
Learn and conduct specialized, hands-on supplemental patient services, including setting up and monitoring neurofeedback sessions and EEG equipment.
Practitioner Assistance:
Directly support doctors and holistic practitioners by prepping therapy rooms, managing patient transition flow between treatments, and assisting with clinical tasks as needed.
Patient Coaching:
Guide and comfortably position patients through their therapy setups, ensuring they feel safe, relaxed, and informed during their sessions.
Experience Experience:
1-2+ years of customer service, hospitality, or administrative front-desk experience (healthcare or wellness setting preferred).
Detail-Oriented:
Exceptional attention to detail with the ability to maintain high accuracy when managing schedules, updating patient files, and processing payments in a fast-paced environment. The "Vibe": Energetic, deeply empathetic, and a great team player. You can balance a compassionate patient approach with a focused, efficient work ethic.
Tech-Savvy:
Comfortable navigating digital calendars, email, and basic desktop applications. Experience with MacOS operating system. Ability to learn new electronic health records (EHR) software quickly.
Organization:
Excellent organizational and multitasking skills with the ability to prioritize tasks and manage multiple responsibilities effectively—you can answer a phone call, check out a patient, and keep a smile on your face while supporting your team members.
Communication:
Exceptional verbal and written communication skills.
Hands-on Patient Care:
Comfortable and confident providing direct, physical patient interaction (e.g., placing sensors, adjusting equipment) with a gentle, reassuring touch.
Technical Aptitude:
A strong willingness and capability to learn technical modalities like neurofeedback software and EEG hardware. You don't need prior certification, but you must be a quick, precise learner who can follow strict clinical protocols
Schedule and Hours:
Monday through Thursday afternoons until close, and some Saturdays.
