SUMMARY OF POSITION
This position will be responsible for all Middle School registrar duties, counseling office administrative assistance, and coordination with the district Student Information System Coordinator. The Registrar will log and maintain student academic records, including earned grades, transfer grades, honor roll, and test scores. Additional responsibilities for current, incoming, and former Middle School students include all inputting of student data, class scheduling, processing district, state, and federal reports, processing transcript requests, managing student withdrawals, and updating grade changes. The Registrar's work location is in the shared Intermediate/Middle School counseling office. The Registrar will oversee enrollment and withdrawal of fifth and sixth-grade Intermediate School students. This position will deal with community members, parents, students, and staff on a regular basis and will be expected to interact with these publics in a professional, friendly, and organized manner.
Starting Salary:
$17.00/ hour
MINIMUM QUALIFICATIONS
High school diploma or general education degree (GED). Educational training and experience preferred. PRINCIPAL RESPONSIBILITIES AND DUTIES
Manage accurate student academic and demographic records for the Middle School. Prepare a variety of complex district, state, and federal reports for the Middle School. Support Middle School teachers with grading and recording. Process information requested by armed services, foreign exchange programs, and law enforcement for the Middle School. Process necessary Middle School transcript/records requests. Process the social security proof of enrollment for the Middle School. Process and manage student book/device collection for the Middle School. Process educational verification documents for the Middle School. Input and maintain the Middle School course master schedule. Run student and teacher Middle School schedules when necessary. Process report cards and teacher grade changes for the Middle School. Run various data requests for the Middle School. Address parent concerns and questions regarding G.P.A. and report cards for the Middle School. Run honor roll for the Middle School. Input grades for Middle School transfer students from other schools. Editing the necessary student identification numbers with the state for the Middle School. Submit names to the National Clearinghouse for the Middle School. Assist Middle School stakeholders with Skyward access. Receptionist for the School Counseling area and supervise student flow; supervising student sign-in; answering phone calls and forwarding those calls when necessary. Send and deliver faxes to the appropriate personnel and mail all correspondence when necessary for the Middle School. Serves as McKinney-Vento liaison for the Middle School. Maintaining and filing all Middle School cumulative student folders promptly. Assist with organization, support, and other tasks for standardized testing, events, etc., for the Middle School. Copy complete cumulative folders for Attorney/Judges when requested by the Middle School Principal. Transfer of cumulative file s of outgoing 8th-grade students at the end of each year for CHS. Manage the enrollment intake portion of all new student registrations in grades 5-8.
This includes:
Collecting and reviewing all required registration paperwork Obtaining and verifying the birth certificate Completing the Home Language Survey Gathering residency documentation Share health records with the nurse Starting the cumulative file and ensuring all required documents are present and organized Once the file is complete and all documents are verified, it will then be transferred to the 5/6 registrar for data entry into Skyward and final processing. 27. Manage all student withdrawals in grades 5-8.
This includes:
Have parent sign a transfer/ withdrawal form Collect IPAD and charger End ADM records End Special Education/EXL records Wait for a records request from the new school before withdrawing Send records to the new school. 28. Complete other duties as assigned by Middle School Administration or Duneland School Corporation Administration.

Work Environment:

Equipment:
This position is required to maintain a working knowledge of all classroom equipment. A basic knowledge of operations for computers, printers, telephone systems, fax machines, and copiers is required.
Hours:
This position is typically expected to work an average of 8 hours per day, 216 days per year. Summer hours/days may be adjusted per the direct supervisor to assure adequate coverage to meet the demands of the School and job.
Physical Demands :

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand, walk, sit, use hands to finger, handle, or feel objects, tools, or controls, reach with hands and arms, and taste or smell. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
