Job Description

Company Overview Nova Interventional Pain Management is a busy interventional pain management practice with two locations, Bel Air and Rosedale. Our team is dedicated to providing comprehensive pain relief solutions through advanced procedures and personalized patient care. Overview We are seeking a highly organized and personable Medical Office Assistant/Front Desk Co-ordinator to join our dynamic team. This role is essential in ensuring smooth clinic operations, delivering exceptional patient service, and supporting clinical staff with administrative tasks. The ideal candidate will possess strong medical administrative skills, familiarity with electronic health record (EHR) systems, and a commitment to maintaining confidentiality and compliance. Responsibilities Greet patients warmly, verify insurance information, and manage appointment scheduling using systems such with Athenahealth. Handle patient intake processes, including collecting medical histories and updating electronic health records (EHR systems). Manage phone lines efficiently using multi-line phone systems, demonstrating excellent phone etiquette and communication skills. Familiar with acquiring insurance authorizations and coverage, scribing medical information into the EHR, familiar with CPT and ICD codes. Experience Maintain accurate medical records by filing documents systematically and reviewing documentation for completeness and accuracy. Support clinical staff with administrative tasks such as preparing care plans, documentation review, and managing patient flow. Ensure compliance with HIPAA regulations by safeguarding patient information and handling sensitive data appropriately. Prior experience in a medical office setting or healthcare environment is required, preferably within a clinic or dental office. Proficiency in EMR systems such as Athena health is highly desirable. Strong knowledge of medical terminology, ICD coding (ICD-9/ICD-10), CPT coding, and medical billing procedures. Demonstrated ability to manage insurance verification processes and Medicare documentation requirements. Exceptional customer service skills combined with clerical experience in office management or front desk roles are essential for success in this position.
