Position Overview:
The Patient Care Specialist is a multifaceted administrative role at Rivas Medical Weight Loss, responsible for delivering a warm, professional, and efficient patient experience. This position serves as a primary point of contact for patients, providing exceptional customer service by promptly answering incoming calls and text messages, addressing patient inquiries, facilitating insurance pre-authorizations, and scheduling and rescheduling appointments.
Key Responsibilities:
Answer the main clinic line promptly and professionally, using a warm, clear, and helpful tone. Serve as the first point of contact for prospective and existing patients, providing a welcoming and reassuring experience. Schedule and confirm new patient appointments; assist with rescheduling across all clinic locations. Triage calls and route to the appropriate clinic or team member based on patient needs (e.g., medication questions, billing, refill requests, appointment follow-up). Identify urgent or sensitive issues and escalate to the appropriate manager or supervisor in a timely manner. Respond to patient calls and text messages within thirty minutes; book appointments for clinic locations as requested. Maintain up-to-date knowledge of clinic services, current pricing models, and GLP-1 medication options to answer common questions accurately. Ensure all appointment changes are accurately entered into the EMR or scheduling system and reflected in the patient record. Uphold the Rivas Medical Weight Loss standard of white-glove service by delivering a welcoming, efficient, and reassuring caller experience. Provide voicemail follow-up within two hours of receipt and assist with overflow tasks during high-call-volume periods. Facilitate checking coverage on Novocare, Lilly Direct, GoodRx, and other leading sites. Facilitate pre-authorization submissions and approval checks for participating insurances and programs. Perform other duties as assigned by management.
Qualifications:
High school diploma or equivalent. Strong interpersonal skills to serve as a welcoming and clear first point of contact for patients. Able to triage calls and route inquiries accurately, escalating urgent issues as needed. Knowledgeable about clinic services, pricing, and medications. Proficient in EMR and scheduling software with strong attention to detail. Committed to delivering exceptional patient-centered service and managing voicemail follow-ups during high volume periods.
Schedule:
This position is scheduled to work Monday through Friday, with no on-call, overnight or weekend shifts required.
Work Setting:
This position requires on-site presence at the clinic.
Physical Requirements:
The Patient Care Specialist must be able to perform the physical demands of a sedentary office environment, including prolonged sitting and computer use, with occasional standing and walking to complete tasks. The role requires sufficient hearing and clear communication in person and over the phone, as well as visual acuity to read documents, view computer screens, and manage electronic records. Manual dexterity and hand-eye coordination are necessary for tasks such as typing, data entry, and handling office equipment. The position may occasionally involve lifting or moving up to 15 pounds, such as files or office supplies, and requires the ability to work in a standard office environment with minimal physical risk. $18.00 - $23.00 per hour
