In this vital role, you will serve as the first point of contact for clients, providers, and visitors, ensuring a welcoming and efficient experience from the moment they walk through our doors or contact us by phone. Your primary responsibilities will include managing patient intake, verifying insurance information, scheduling appointments, and maintaining accurate medical records using advanced Electronic Health Record (EHR) systems. This position offers an exciting opportunity to contribute to high-quality mental health services while utilizing your strong administrative and medical support skills. Duties Greet clients and visitors warmly, providing exceptional patient service and professional front desk support Collect and verify patient information, including insurance details, demographic data, and medical history Schedule appointments efficiently using clinic management software such as Epic, Meditech, or Athenahealth Conduct insurance verification and pre-authorizations to ensure coverage for services provided Manage multi-line phone systems with excellent phone etiquette, addressing inquiries promptly and professionally Maintain accurate medical records by reviewing documentation for completeness and compliance with HIPAA regulations Assist with billing processes including medical collection procedures and coding tasks such as
CPT, ICD-10/ICD-9
coding, and documentation review Support clinic operations by managing filing systems, updating patient charts in EMR (Electronic Medical Records) systems like eClinicalWorks or Dentrix, and performing clerical duties such as data entry and typing Collaborate with clinical staff to facilitate care plans and ensure seamless communication between patients and providers Requirements Proven experience in a medical office setting, preferably within behavioral health or dental clinics Strong knowledge of EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or Dentrix Familiarity with medical billing procedures including insurance verification, medical collection practices, CPT coding, ICD coding (ICD-10/ICD-9), and Medicare guidelines Excellent organizational skills with attention to detail in documentation review and record keeping Ability to handle sensitive patient information in compliance with HIPAA regulations Bilingual abilities are highly desirable to serve diverse patient populations effectively Proficiency in Microsoft Office Suite (Word, Excel), typing skills including 10-key typing, and general computer literacy Exceptional customer service skills with a professional phone manner and strong office management capabilities Ability to multitask efficiently in a fast-paced environment while maintaining accuracy and professionalism Join our team to make a meaningful difference in the lives of those we serve!
