Job Description
Job Summary We are seeking a dedicated and detail-oriented Medical Office Assistant (Phone & Scheduling Support) to join our healthcare team. The ideal candidate will possess strong administrative skills, excellent communication abilities, and a comprehensive understanding of medical office operations. In this role, you will serve as the primary point of contact for patients, managing appointment scheduling, patient inquiries, and administrative support to ensure smooth clinic operations. Your expertise in medical terminology, EMR systems, and patient service will contribute significantly to delivering high-quality healthcare experiences. Responsibilities Answer multi-line phone systems promptly and professionally, providing exceptional patient service and addressing inquiries with clarity and empathy. Schedule patient appointments accurately using electronic health record (EHR) systems such as Epic, Meditech, or Athenahealth, ensuring efficient utilization of clinic resources. Verify insurance coverage and benefits, including Medicare and Medicaid, to facilitate seamless billing and authorization processes. Manage patient intake procedures by collecting necessary information, updating medical records, and reviewing documentation for completeness and accuracy. Assist with administrative tasks such as filing medical records, processing documentation review requests, and maintaining organized office files. Support front desk operations by greeting patients, managing waiting areas, and ensuring compliance with HIPAA regulations to protect patient confidentiality. Collaborate with clinical staff to coordinate care plans and ensure timely communication regarding patient scheduling or follow-up appointments. Skills Proficiency in EMR systems. Strong knowledge of medical terminology, ICD-10/ICD-9 coding, CPT coding, and medical billing procedures. Excellent phone etiquette combined with active listening skills to effectively manage patient interactions. Bilingual abilities are preferred to serve diverse patient populations effectively. Demonstrated experience in medical office management or healthcare administrative support within a clinical setting. Familiarity with insurance verification processes and Medicare/Medicaid guidelines. Proficient computer skills including Microsoft Office Suite (Word, Excel) and health information management software. Ability to handle sensitive information in compliance with HIPAA standards while maintaining confidentiality at all times. Strong organizational skills with attention to detail in scheduling and documentation review tasks.
