GENERAL PURPOSE
Butzel is seeking a Legal Intake Coordinator for new matter and new client intake, conflict clearance, and onboarding. The Legal Intake Coordinator will serve as a centralized resource for new matters, working closely with new clients, attorneys, legal assistants, and administrative departments to ensure timely processing, accurate reporting, and consistency across workflows. This position offers the opportunity to contribute to process improvements, enhance reporting capabilities, and support a high-functioning legal team in a collaborative environment.
MAJOR RESPONSIBILITIES
Manage the full lifecycle of new matter intake from initial conflict check through matter opening. Submit and monitor conflict checks using firm systems and templates; follow up with clients and attorneys to resolve any conflicts or outstanding items. Complete all data entry for matter setup as well as supplemental information. Coordinate the preparation and distribution of Engagement Letters, including tracking execution. Partner with Accounting to track retainer status and follow up on outstanding payments. Maintain visibility into all pending matters and proactively follow up to ensure timely progress. Prepare and distribute weekly status reports to attorneys and their teams outlining the progress of pending matters and next steps; generate monthly reports to track and close aging or inactive matters. Coordinate as needed with team members and support communication across offices to ensure consistent processes. Perform other duties as assigned.
SKILLS, ABILITIES AND EXPERIENCE
Excellent written and oral communication skills; sound judgment and a high level of professionalism. Ability to work both independently and collaboratively in a fast-paced environment. Strong attention to detail with a high level of accuracy in data entry and document management. Excellent organizational and time management skills, with the ability to manage multiple priorities simultaneously. Ability to collaborate effectively with clients, attorneys, staff, and cross-functional teams/offices. Ability to proactively identify issues and follow through to resolution. Comfort working independently in a remote or hybrid environment while maintaining accountability.
EDUCATION, EXPERIENCE AND/OR TRAINING
Minimum of 2 years of experience in an administrative, intake, or support role preferred. Familiarity with law firm processes and client onboarding procedures is a plus. To submit your resume or for information regarding current career opportunities, please contact recruiting@butzel.com
