Full-time Summary:
We are seeking a compassionate, highly organized Patient Support Specialist who thrives in a fast-paced medical office and genuinely cares about improving patient experiences. The person in this role is the primary point of contact for new and existing patients of the practice. The Patient Support Specialist receives incoming telephone calls, texts, emails and website inquiries, schedules patients, reaches out to patients with appointment reminders, move-up opportunities and loyalty program reminders, and generally helps ensure an exceptional experience for patients not physically in the office. They maintain a working knowledge of all products and services and is cross trained to assist with other administrative responsibilities. This is not a typical doctor's office admin role

Practice Administrator Core Responsibilities:
Answer calls to new and existing patient call queue. Schedule appointments in Nextech. Answer questions within scope of knowledge, share personal experience with procedures, provide information, and handle other calls in accordance with practice policies. Email patient info such as Pre/Post Instructions, FAQs, etc Cancel and reschedule appointments, collect deposits, communicate late cancel / no show policies. Monitor and respond to all incoming existing patient emails and website "chat" inquiries. Review future schedule and fill openings from move-up list Contact unconfirmed appts by telephone, email and text Work on project-based assignments Cross train to occasionally assist other administrative roles. Required Proficiencies Warm, friendly, outgoing and energetic personality Professional appearance Excellent telephone skills Excellent writing skills Excellent customer service skills A demonstrated passion for aesthetics or skin care Proficient with computers, Microsoft Office (Nextech, CRM advantageous) Education and Experience Bachelor's Degree (required) Relevant work experience in direct customer facing environments Benefits Medical Insurance Dental and Vision Insurance Voluntary Life Short-Term and Long-Term Disability Holiday, PTO, Sick Time 401K, profit sharing Aesthetic services and employee discounts Other You must submit a cover letter to be considered.
