Job Description

JOB PURPOSE
The Medical office specialist job purpose is to answer incoming phone calls, direct calls to the appropriate extension, take messages, schedule patients for appointments, check insurance eligibility when scheduling appointments, provide coverage when needed for the Front Desk Receptionist, greet patients, check them in, and collect co-pays, communicating a positive first-impression and addressing all patients efficiently and effectively. This position is expected to uphold the mission and values established by the organization. The Medical office specialist reports to the Practice Manager and Assistant Practice Manager.
QUALIFICATIONS AND REQUIREMENTS
High School Diploma or GED 2 years of customer service experience Effective oral and written communication skills Highly organized Problem solving Exceptional patient satisfaction skills Detail oriented Competent in Microsoft Office, Adobe Acrobat, EHR, etc.
ROLE AND RESPONSIBILITIES
Greets all patients with a smile and in a professional manner both in person and on the phone Always uses professional telephone etiquette Takes detailed phone messages and enters a phone encounter into the Electronic Medical Records system Transfers calls to the proper extension as required Check insurance eligibility when scheduling appointments Provides coverage for the Front Desk Receptionist Responsible for keeping their work space clean and organized Checks in new patients and updates existing patient demographics by collecting detailed patient information including personal and financial information Verifies patient demographic information, takes a photo of patient, copies patient insurance card, and copies driver's license or state issued ID Ensures that all patient paperwork is completed, signed and dated Collects co-pays, outstanding balances and provides a receipt when necessary Facilitates patient flow by notifying the Medica Assistant involved in the patient's care of the patient's arrival Works collaboratively with Providers and team members and communicates patient issues such as delays, no shows Responds to inquiries by patients, prospective patients, and visitors in a courteous manner Adheres to professional standards, policies, and procedures, federal, state, and local requirements, OSHA and HIPAA standards Demonstrates knowledge of and supports mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality standards, and the code of ethical behavior Performs other duties as assigned by the Company
SUPERVISORY RESPONSIBILITY N/A WORK ENVIRONMENT
This job operates in a professional office environment.
PHYSICAL REQUIREMENTS
Must be able to sit for long periods of time. Must be able to lift and carry up to 10 lbs at one time.
