Job Description

The Front Office Coordinator is responsible for managing and streaming front office operations, procedures, and resources to ensure smooth, effiecient, and effective functioning of the office. This role runs under the direction of the Executive Director and ensures that all tasks and practices align with the mission, vision, and ethical standards of Clarion Family Therapy. The Front Office Coordinator will maintain a high level of professionalism and confidentiality while contributing to the overall success of the organization. This is a full-time, non-exempt position with benefits.
Education and Experience:
High School diploma or equivalent. Excellent communication and customer service skills, with a friendly and empathetic demeanor. Strong organizational and multitasking skills with attention to detail. Two years of clerical experience in a medical/behavioral health office or human services setting is preferred. Working knowledge of basic office equipment, computers, and software, including Microsoft office (Word, Excel, Outlook, etc.). Familiarity with clerical tasks such as typing, managing spread sheets and emails. Maintain patient confidentiality and adhere to privacy standards, including HIPPA regulations in all communication and transactions.
Job Duties:
1. Communicate clearly and effectively with patients, staff, and providers through varies channels, including phone, email, and in person interactions. 2. Provide exceptional customer service by assisting patients, answering questions and resolving concerns escalating to the Executive Director and or Clinical Director, as needed. 3. Monitor and respond to emails throughout the day, ensuring timely and accurate replies. 4. Make referrals and create electronic patient records. 5. Verify insurance eligibility for each patient on the daily schedule the day before their appointment. 6. Mange patient check in and out. 7. Confirm patient demographics and insurance information at each visit to ensure billing accuracy. 8. Handle sensitive or confidential materials appropriately. 9. Collect and track patient copays at each visit. 10. Maintain electronic schedules (to include scheduling, cancellations or rescheduling if necessary). 11. Perform filing duties for outpatient and billing 12. Perform records requests as needed. 13. Maintain security integrity and confidentiality of al protected health information. 14. Other duties as assigned to support the growth and development of Clarion Family Therapy, Inc.
