Full-Time Associate Registrar Empire State University's Office of the Registrar invites applications for the position of Associate Registrar. The Associate Registrar provides leadership and operational oversight of student records systems, with a primary emphasis on technology implementation, system optimization, and process improvement, particularly in the area of transfer credit. The successful candidate will lead initiatives aimed at enhancing operational efficiency, supporting student success, and delivering exceptional service to both students and staff. This role is responsible for evaluating, streamlining, and auditing academic processes, as well as documenting and implementing improved registrar operations through the effective use of technology. The ideal candidate will possess extensive hands-on experience with Ellucian Banner and a demonstrated ability to leverage system functionality to advance institutional objectives.Key Responsibilities:
Lead and coordinate multiple Office of the Registrar technology initiatives and system implementations. Provide strategic oversight of transfer system implementation and process redesign, driving continuous improvement initiatives to strengthen transfer credit evaluation, data integrity, and cross-departmental collaboration. Analyze business processes and recommend technology-driven efficiencies. Evaluate system updates, patches, and new features; recommend and implement changes as appropriate. Collaborate with ITS, Decision Support, and campus partners to align system functionality with business needs. Develop and execute comprehensive test plans for system upgrades, enhancements, and integrations. Create and maintain functional documentation, workflows, and training materials. Provide guidance and training to Registrar staff and campus stakeholders on system functionality and new processes. Serve as a key resource for complex system-related questions and problem resolution. Contribute to strategic planning for registrar systems and services. Serve as a member of the Office of the Registrar's management team.Job Requirements:
Required Qualifications:
Bachelor's degree from an accredited institution. At least three (3) years' progressive experience in a Registrar's Office or closely related higher education environment. A minimum of three (3) years' experience working with Ellucian Banner, including functional configuration, testing, and end-user support. Demonstrated Banner experience across multiple modules (e.g., Student, Registration, Transfer Articulation/SCADETL), with the ability to troubleshoot, evaluate patches, and implement system changes. Demonstrated knowledge of transfer articulation processes within Banner, including transfer equivalency rule management, audit validation, and data integrity review. Excellent customer service skills and ability to maintain productive constituent relationships. Supervisory experience in a higher education or administrative setting. Working knowledge of FERPA and academic records compliance. Experience with system implementations, upgrades, and functional testing. Strong analytical, organizational, and problem-solving skills. Ability to manage multiple projects and meet deadlines.Preferred Qualifications:
Master's degree from an accredited institution. Experience with process mapping or project management methodologies. Experience writing functional specifications or technical documentation. Knowledge of academic policies, curriculum processes, and student records regulations (e.g., FERPA).Special Information:
Occasional travel, as well as evening and weekend hours, may be required to fulfill departmental, divisional, and university-wide commitments. Rank/Salary:
Associate College Registrar, SL4 / $80,000-$85,000, dependent upon experiences and qualifications.
