Client Care Coordinator / Intake Coordinator

Illuminate Play Therapy & Counseling is growing, and we are looking for a warm, organized, and compassionate individual to join our team as a Client Care Coordinator / Intake Coordinator . This role is often the first point of contact for children, individuals, and families reaching out for support. We are looking for someone who values connection, communication, and creating a welcoming experience for clients during vulnerable moments. This position is ideal for someone interested in the mental health field, psychology, social work, counseling, or healthcare administration — especially individuals considering becoming a therapist or working in helping professions long-term. Position Overview Part-time position (approximately 15-20 hours/week) supporting: Client communication Intake coordination Scheduling Referral support Administrative organization General office support Flexible scheduling with potential for growth as the practice continues expanding. Responsibilities Answer phone calls, texts, and client inquiries Schedule intake appointments and ongoing sessions Support Lighthouse Sessions rapid-access scheduling Maintain organized communication with clients and referral partners Assist with referrals and waitlist management Help create a warm and welcoming office environment Support clinicians with general administrative needs Coordinate intake paperwork and client onboarding Ideal Qualities We are looking for someone who is: Compassionate and personable Organized and dependable Comfortable communicating with children, families, and professionals Able to maintain confidentiality and professionalism Calm under pressure and emotionally grounded Detail-oriented and proactive Interested in mental health or helping professions Bilingual applicants are highly encouraged to apply.
