Job Description

Job Overview Infinity Mental Health in New Paltz, NY is looking to expand it's administration team! We are seeking a dedicated and organized Intake Coordinator to join our healthcare team. In this vital role, you will serve as the first point of contact for patients and clients, ensuring a smooth and efficient intake process. Your energetic approach will help facilitate seamless communication between patients, medical providers, and administrative staff. The ideal candidate will possess strong communication skills, excellent organizational skills, and a passion for helping people and working as part of a team. This paid position offers an exciting opportunity to contribute to quality patient care while developing your skills in healthcare administration. The position requires someone who can return phone calls and emails promptly, ideally within a 2-3 hours range throughout the work week. A quiet, private background is needed to make phone calls. Training will be provided on how to conduct intake calls and schedule new clients. Some in-person participation is a plus! We may ask you to attend team meetings on Wednesdays at 11:00 on occasion or be physically present for other various tasks here or there. Our office is located at 15 North Chestnut Street right in the heart of New Paltz! Opportunity for growth within the company is available as well. We are a very well established practice with 7.5 years in operation and a stellar reputation due to our amazing team of counselors. We hope to find our newest member to join our work-family!~ Duties Greet patients and clients warmly over the phone and via email, establishing a welcoming environment from the moment they reach out. Collect and verify patient information, including personal details and insurance data Schedule appointments efficiently while managing calendar updates and rescheduling as needed Maintain accurate and confidential records using electronic health record systems Coordinate communication between patients, team practitioners, and external agencies to ensure timely follow-up Support the team with administrative tasks such as preparing documentation and managing correspondence Qualifications No prior experience working in a medical office setting or healthcare environment is required but some background knowledge or awareness is preferred. Understanding the importance of HIPPA compliance a major plus Proven ability to provide excellent medical administrative support with attention to detail Office experience demonstrating proficiency with scheduling software and electronic record systems Experience in an office or similar healthcare setting is a plus Excellent communication skills, both verbal and written, with a friendly yet professional demeanor Ability to multitask effectively in a dynamic environment while maintaining accuracy Join us as an Intake Coordinator and be part of a team committed to delivering compassionate care through efficient administrative support.
