Full Job Description The Role & Its Evolution:
At AIM Behavior Services , we provide life-changing Applied Behavior Analysis (ABA) therapy. We are seeking a Patient Access & Authorization Specialist for our team where your expertise will be vital in streamlining patient intake, verifying insurance coverage, and securing necessary authorizations for treatment. This role offers the opportunity to make a meaningful impact by ensuring patients receive timely care while maintaining compliance with healthcare regulations. You will serve as a key liaison between patients, providers, and insurance companies, fostering a positive experience from initial contact through authorization completion. This position is built for growth; while you will initially manage intake and authorizations for our Boise, Fresno, and San Diego clinics, this role will evolve into a comprehensive client-focused administrative lead. As the company expands, you will take on significant medical billing responsibilities and oversee the tracking of client policies and procedures to ensure our organizational standards are upheld across all locations.
Key Responsibilities:
Strategic Authorizations:
Direct the authorization pipeline for our California and Idaho regions, ensuring accurate submissions and timely renewals. Maintain accurate records of all authorization requests, approvals, and related correspondence in compliance with HIPAA regulations Communicate effectively with insurance companies to follow up on authorization statuses and resolve any discrepancies or denials Collaborate with medical office staff to ensure all documentation meets regulatory standards and coding accuracy
Billing & Revenue Cycle:
Handle medical billing duties, including navigating denials and claim submissions, with an increasing focus on billing as the role develops.
Client Matching & Referrals:
Strategically match families with clinical teams and manage the administrative onboarding process. Verify patient insurance information and eligibility using managed care systems and insurance portals
Compliance & Policy Tracking:
Oversee the tracking of client policies to ensure all families and staff are in alignment with AIM Behavior Services procedures.
Outcome Management:
Systematize the collection of clinical data required by insurance payers.
Ideal Qualifications:
Education:
Degree in Business, Medical-related professions, Medical Billing, or professional experience equivalent to a degree.
Experience:
Proven experience in medical office administration or healthcare-related roles, preferably within managed care or insurance verification environments. Prior experience in ABA or medical billing is a plus.
Authorization Mastery:
Proficiency in the authorization lifecycle and understanding of the documentation required for approvals.
Medical Terminology:
Knowledge of medical terminology, medical records management, and medical coding
HIPAA:
Familiarity with HIPAA regulations to ensure patient privacy and data security at all times
Billing Proficiency:
Strong understanding of medical billing principles and the desire to manage the revenue cycle.
Insurance Proficiency:
Experience working with insurance providers to verify coverage and obtain prior authorizations efficiently
