Senior IVF Donor Coordinator (Program Lead)

Overview This is not a traditional IVF coordinator role. Elite Fertility Solutions is seeking a highly experienced professional to take ownership of our egg donor program within a boutique, concierge-style environment. This role is ideal for someone who thrives in a fast-paced, high-touch setting and is ready to lead both the donor vetting process and an elevated client experience. About the Role This is a dynamic, highly personalized position requiring both ownership and initiative. You will oversee the full donor onboarding and vetting process while guiding intended parents through a thoughtful, concierge-level donor selection experience. Key Responsibilities Oversee the full onboarding process for egg donor applicants, from initial inquiry through acceptance Manage the entire donor vetting process, including application review, documentation review, Zoom interviews, lab ordering, and appointment coordination Ensure completion of all medical, psychological, and background screening requirements Serve as the primary point of contact for donors throughout the screening and approval process Lead the Donor Concierge Experience, guiding intended parents through donor selection Assist with donor cycle coordination as needed

Financial & Cycle Responsibilities:

Coordinate donor compensation and reimbursements during active cycles Ensure all financial components are in place prior to cycle start, including confirming escrow accounts are fully funded Provide donors with reimbursement forms and guidelines, review submissions for accuracy, and confirm eligible expenses Process and track payments related to donor cycles, including reimbursements and agency-related expenses such as travel arrangements and remote monitoring Maintain accurate, organized, and confidential records Collaborate with a small, fast-moving team to ensure a seamless experience Contribute to internal process improvements and donor recruitment efforts Requirements 3+ years of experience in an IVF clinic or fertility setting ( required ) Strong understanding of egg donation and IVF cycle coordination Excellent communication and interpersonal skills with a high level of empathy and professionalism Ability to build trust with both donors and intended parents Highly organized with the ability to manage multiple cases and timelines Self-directed and comfortable working remotely Detail-oriented with strong follow-through and accountability Compensation $30-$45 per hour, based on experience Opportunity for growth within a boutique, specialized agency Why Join Us Small, collaborative, and mission-driven team Meaningful, relationship-focused work Opportunity to help shape and grow the program High-touch, concierge-style approach Important Requirement Please apply only if you are able to reliably attend in-person meetings in Newport Beach twice per month at a minimum
