This role is critical in helping clients navigate services while ensuring smooth front office operations. Position Summary The Intake Coordinator provides front desk and administrative support while guiding clients through the application process for rent, utility, and medication assistance. This position requires strong communication skills, attention to detail, and the ability to work with individuals experiencing financial hardship in a respectful and professional manner. Key Responsibilities Client Interaction & Intake Greet and assist clients in person and by phone with professionalism and empathy Conduct preliminary intake screenings to determine program eligibility (final decisions made by case managers) Guide clients through the application process and required documentation Schedule and confirm appointments Follow up with clients via phone, email, or in person Administrative & Office Support Manage front desk operations, including incoming calls, emails, and walk-ins Pull, organize, and maintain client files (both digital and physical) Review applications and documents for completeness and accuracy Enter and track client data in CharityTracker and other systems Print and prepare daily forms and appointment materials • Process incoming mail, applications, and supporting documents Program Support Assist in identifying appropriate services and funding sources for clients Prepare vouchers (including medical and prescription assistance) as needed Ensure compliance with grant requirements and documentation standards Maintain confidentiality of all client information Office Operations Maintain a clean, organized, and welcoming office environment Monitor and restock office supplies Assist with meetings, events, and general office needs Collaborate with staff and communicate regularly with the Executive Director Qualifications & Skills High school diploma or GED required 1-2 years of administrative or office experience preferred Proficiency in Microsoft Word, Excel, and Outlook Strong data entry and organizational skills Excellent verbal and written communication skills Ability to manage multiple tasks in a fast-paced environment Compassion, patience, and professionalism when working with diverse populations Ability to maintain strict confidentiality Strong problem-solving and critical thinking skills Physical Requirements Ability to sit, stand, and move throughout the office for extended periods Occasional lifting up to 25 lbs

Tuesday:
8:00 am•4:30 pm,
Wednesday:
8:00 am•4:30 pm,

3:00 pm•6:30 pm.
Pay:
