Full Job Description General Description:
As the Academic High School Registrar, you will play a pivotal role in the administrative operations of our institution, ensuring the seamless enrollment, documentation, and data management of our student body. Your responsibilities will encompass maintaining accurate student records, facilitating enrollment processes, and collaborating closely with various stakeholders including students, parents, faculty, and administrative staff. With your keen attention to detail, organizational prowess, and commitment to confidentiality, you will contribute to the smooth functioning of our academic community, supporting student success and educational excellence.
Qualifications:
High school diploma required, associate's degree preferred. Previous registrar experience preferred; other secretarial experience may be considered. Proficiency in MS Word, Excel, and Outlook; typing speed of minimum 50 words per minute accurately. Excellent time management and customer service skills. Experience in establishing and maintaining comprehensive filing systems, including confidential information. Ability to prioritize independently and function accurately under pressure. Maintaining confidentiality regarding student and staff situations and sensitive school and district information. Willingness to attend training sessions throughout the school year. Proven ability to work politely and professionally with various constituencies. Strong verbal and written communication skills. Excellent organizational skills. Alternative qualifications as deemed appropriate by the district.
Essential Performance Responsibilities:
Greeting parents and students, assisting in completing enrollment documentation. Determining CIDOR/Proof of residency. Entering TREX for incoming students and fulfilling TREX requests for withdrawn students. Enrolling students and accurately entering demographics in the student data system. Scanning all related student documents into the student data system. Issuing preliminary student schedules. Securing proper documentation for withdrawals and entering data into the student data system. Notifying stakeholders of student schedule changes. Entering transfer credits and student coding promptly. Entering health records promptly. Managing reports, progress reports, course completions, and grades as directed. Handling telephone calls, fielding questions, and recording messages. Greeting stakeholders in a pleasant and professional manner. Compiling operational statistics and other data as assigned. Producing and submitting internal reports as directed. Performing tasks assigned. Preparing and sending correspondence to parents as directed. Providing accurate and timely reports. Working Monday through Friday during normal business hours.
