Job Description

Lead Medical Office Coordinator Genesis Medical Group is a rapidly growing healthcare provider in the Greater Houston area. We are seeking a dedicated and experienced Lead Medical Office Coordinator to join our team. The Lead Medical Office Coordinator reports to the Practice Manager / Director of Operations Position Summary The Lead Medical Office Coordinator is responsible for overseeing the daily administrative operations of the medical office while providing leadership and support to front office staff. This position ensures efficient patient scheduling, registration, insurance verification, customer service, and office workflow while maintaining compliance with company policies and healthcare regulations. The Lead Medical Office Coordinator serves as a resource for staff, assists with training, and helps ensure a positive patient experience. Essential Duties and Responsibilities Leadership & Staff Support Serve as the primary point of contact for front office staff. Assist with onboarding, training, and mentoring new employees. Monitor staff performance and provide coaching as needed. Assist management with scheduling and staffing coverage. Promote teamwork and a positive work environment. Communicate office policies, procedures, and workflow changes to staff. Address patient and staff concerns professionally and escalate issues when necessary. Front Office Operations Oversee daily patient check-in and check-out processes. Ensure accurate patient registration and demographic updates. Monitor appointment scheduling to maximize provider productivity. Verify insurance eligibility and benefits as required. Ensure collection of copays, deductibles, balances, and other patient payments. Manage incoming calls, patient inquiries, and appointment requests. Maintain patient confidentiality in accordance with HIPAA regulations. Administrative Responsibilities Monitor office workflow and identify opportunities for process improvement. Ensure timely completion of administrative tasks and documentation. Assist with reporting, audits, and compliance initiatives. Maintain office supplies and coordinate ordering when needed. Support provider and management requests as assigned. Ensure proper handling and routing of patient records, referrals, and authorizations. Patient Experience Foster exceptional customer service and patient satisfaction. Resolve patient concerns professionally and efficiently. Ensure patients receive timely communication regarding appointments, referrals, and follow-up care. Promote a welcoming and professional office environment. Compliance & Quality Assurance Ensure adherence to company policies and procedures. Maintain knowledge of HIPAA, OSHA, and healthcare compliance requirements. Participate in quality improvement initiatives. Assist with regulatory inspections and audits as needed. QualificationsEducation High School Diploma or GED required. Associate degree in Healthcare Administration, Business Administration, or related field preferred. Experience Minimum of 3 years of medical office experience required. Minimum of 1 year in a leadership, supervisory, or lead role preferred. Experience with electronic medical records (EMR/EHR) systems required. Experience with insurance verification, scheduling, and patient registration required. Knowledge, Skills, and Abilities Strong leadership and team-building skills. Excellent communication and interpersonal skills. Strong organizational and multitasking abilities. Ability to handle confidential information appropriately. Proficiency in Microsoft Office and medical practice management software. Knowledge of medical terminology and healthcare office procedures. Strong problem-solving and conflict-resolution skills. Ability to work in a fast-paced healthcare environment. Physical Requirements Prolonged periods of sitting and computer use. Ability to occasionally lift up to 25 pounds. Ability to move throughout the office and assist staff as needed. Performance Expectations Maintains high patient satisfaction scores. Supports efficient clinic operations and provider schedules. Ensures accuracy of patient registration and insurance information. Demonstrates leadership, professionalism, and accountability. Meets established productivity, attendance, and quality standards. Contributes to a positive workplace culture and team engagement. This position combines hands-on front office responsibilities with leadership duties to ensure efficient clinic operations, exceptional patient service, and staff success.
