Job Description
Description We are looking for a detail-oriented Medical Scheduler to support patient access and care coordination for a Contract position in Federal Way, Washington. This role focuses on arranging appointments, confirming coverage details, and helping patients understand scheduling, referral, and billing-related information. The ideal candidate brings strong communication skills, sound knowledge of medical terminology, and a calm, patient-centered approach when working with individuals, providers, and referring offices.
Responsibilities:
- Coordinate patient appointments and related services based on approved referrals and clinical scheduling guidelines.
- Collect, confirm, and maintain patient demographic information and enter accurate details into the electronic medical record.
- Review insurance coverage, verify eligibility, and document authorization or referral information needed for scheduled visits.
- Check that required supporting items such as laboratory work, imaging, scans, and referral documents are available before appointments.
- Respond to patient questions regarding billing, insurance benefits, and estimated costs, and provide clear explanations when additional clarification is needed.
- Communicate with physicians, patients, and referring clinics when referrals are denied or when added documentation, review, or second opinions are required.
- Update patient charts by scanning, copying, and filing records into the appropriate sections of the electronic medical record system.
- Arrange special support services for patients, including interpreters, transportation, and other care-related accommodations as needed.
- Provide pre-visit guidance, manage cancellations or missed appointments according to established procedures, and escalate policy concerns to leadership when appropriate.
- Work collaboratively during operational changes involving external teams and evolving access to scheduling or support systems, while maintaining continuity of patient service. Requirements
- 2+ years of experience in medical scheduling, patient access, or a related healthcare support role.
- Practical knowledge of insurance verification, referral coordination, and authorization processes.
- Experience entering and maintaining patient information in an electronic medical record, including Epic software.
- Familiarity with medical terminology and the ability to communicate healthcare information clearly to patients.
- Strong customer service background with confidence handling high-volume phone or call center interactions.
- Ability to manage multiple priorities with accuracy, follow established procedures, and maintain organized documentation.
- Demonstrated empathy, patience, and professionalism when assisting patients with scheduling and coverage questions.
