Job Description

Position Summary:
The Site Coordinator is a key member of our team, serving as both the first point of contact for patients and referral sources and the central manager of daily office operations.
This role is responsible for:
Processing new equipment orders and verifying insurance, Ensuring compliance with Medicare/Medicaid and private payer requirements, Coordinating with delivery and clinical teams for timely patient setups, Overseeing office operations and organization, Managing and tracking inventory to ensure adequate stock levels, and Assisting walk-in patients with equipment needs, questions, or concerns. This position requires strong multitasking abilities, attention to detail, and a customer-service mindset. It is a full-time, in-office position with a set schedule of Monday through Friday, 9:00 AM to 5:00
PM Key Responsibilities:
Receive and process new patient referrals and orders via phone, fax, or electronic system. Verify insurance eligibility, coverage, and authorization requirements. Review clinical documentation to ensure compliance with Medicare, Medicaid, and private payer guidelines. Enter orders accurately and track order status. Communicate with physicians, case managers, and patients regarding missing or incomplete documentation. Coordinate with the delivery/warehouse team to ensure timely setup of equipment. Maintain accurate records and follow HIPAA and ACHC accreditation standards. Provide exceptional customer service to patients and referral sources.
Qualifications:
Previous healthcare or DME experience preferred, but not required (training provided). Strong organizational skills and attention to detail. Excellent communication and customer service skills. Ability to multitask in a fast-paced environment. Proficiency with computers; experience with Brightree or similar medical billing/order entry software is a plus. High school diploma or equivalent required; post-secondary education in healthcare administration or related field is a plus. Must be able to pass a background check and drug screen.
