Position Summary We are seeking a highly organized, detail-oriented Administrative Assistant to support our nursing and surgical scheduling team. This individual will play a critical role in ensuring patients are properly prepared for surgery by coordinating clearances, managing documentation, facilitating communication, and providing exceptional patient support throughout the surgical process. The ideal candidate is proactive, compassionate, comfortable working in a fast-paced medical environment, and willing to assist multiple departments as needed. Essential Responsibilities Surgical Coordination & Administrative Support
  • Assist nurses and surgical schedulers with all aspects of surgical preparation and coordination.
  • Request, track, and follow up on medical clearances, laboratory results, imaging, and other pre-operative requirements.
  • Ensure all surgery-related orders are entered accurately and transmitted to the appropriate facilities, providers, and departments.
  • Verify that all required documentation is received and completed prior to scheduled procedures.
  • Maintain accurate records and update patient information within the electronic medical record (EMR).
  • Communicate with physician offices, hospitals, surgery centers, and ancillary providers regarding patient care needs and surgical requirements. Patient Support
  • Serve as a point of contact for patients regarding surgical preparation, appointments, and general questions.
  • Complete patient related FMLA / disability paperwork
  • Address patient concerns and escalate clinical issues to nursing staff when appropriate.
  • Provide patient education materials and ensure patients understand pre-operative instructions.
  • Assist with fitting and educating patients on braces, cervical collars, and other prescribed durable medical equipment (DME). Front Office Support
  • Assist reception staff with daily operational needs as needed.
  • Help manage incoming phone calls, patient check-in/check-out, scheduling, and other administrative tasks.
  • Support overall clinic workflow to ensure a positive patient experience. Qualifications Required
  • High school diploma or equivalent.
  • Previous experience in a medical office, healthcare administration, or related healthcare setting.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficiency with EMR systems and Microsoft Office applications.
  • Professional, compassionate, and patient-focused demeanor. Preferred
  • Experience with surgical scheduling or pre-operative coordination.
  • Knowledge of medical terminology.
  • Experience fitting or educating patients on orthopedic braces, collars, or other DME products.
  • Medical Assistant certification or healthcare-related training is a plus, but not required.
