This role is designed for a career EA who thrives on creating order, establishing operational consistency, and building a deep understanding of our business over time. The ideal candidate brings a proven track record of long-term commitment in previous roles and is explicitly looking for their next long-term professional home. You will serve as the CEO's primary strategic partner, gatekeeper, and trusted confidante, ensuring day-to-day operations flow seamlessly while maintaining a calm, predictable, and highly organized executive office.
Core Responsibilities Executive Calendar & Schedule Management:
Manage and optimize a complex executive calendar with foresight and meticulous attention to detail. Protect the CEO's time by strategically prioritizing meetings, resolving scheduling conflicts proactively, and ensuring a balanced, sustainable daily workflow.
Gatekeeping & Communication Liaison:
Serve as the primary, professional point of contact for internal and external stakeholders, including board members, executive leadership, clients, and partners. Screen and manage incoming requests, emails, and phone calls with exceptional judgment and diplomacy.
Operational Continuity & Organization:
Maintain high-level organization across the executive suite. Track ongoing commitments, follow-ups, and long-term project deadlines, ensuring the CEO is fully prepared, briefed, and supplied with relevant materials ahead of every engagement.
Meeting & Travel Coordination:
Arrange comprehensive, seamless domestic and international travel itineraries, accommodations, and logistics. Coordinate high-level executive meetings, board presentations, and internal alignments, including agenda preparation and precise minute-taking.
Information & Project Management:
Handle sensitive, confidential corporate and personal data with absolute discretion. Prepare, review, and organize executive correspondence, presentations, and reports, ensuring the highest standards of accuracy and professional formatting.
Qualifications & Experience Proven Longevity:
Minimum of 7-10+ years of dedicated experience supporting C-level executives (CEO preferred), with a demonstrated history of multi-year tenure and stability in previous positions. High Emotional Intelligence (EQ) &
Discretion:
Exceptional interpersonal skills with a calm demeanor under pressure. A proven ability to navigate nuanced business relationships and handle highly confidential information with flawless integrity.
Proactive Foresight:
The ability to anticipate the needs of the CEO, spot potential scheduling or logistical issues days in advance, and address them quietly and efficiently.
Exceptional Communication:
Masterful verbal and written communication skills, capable of mirroring the executive's professional tone in correspondence with high-profile stakeholders.
Technical Proficiency:
Mastery of corporate productivity tools (e.g., Microsoft 365, Google Workspace, advanced scheduling tools) and the ability to easily adapt to standard document management and communication systems.
