Banquet & Events CaptainPosition Overview The Banquet & Events Captain serves as the primary Front-of-House lead for all on-property events, acting as the key operational liaison between the Sales & Events team, culinary team, service staff, and clients. This role is responsible for ensuring every event—from luxury weddings and elevated social celebrations to refined corporate retreats and multi-day programs—is executed with the signature hospitality, precision, and professionalism of Grace Winery. The Events Captain leads service execution from pre-event planning through final breakdown, ensuring seamless communication, polished presentation, and exceptional guest experiences throughout all phases of the event lifecycle. This role requires strong leadership, hospitality intuition, operational organization, and the ability to thrive in high-touch, fast-paced environments. Key ResponsibilitiesEvent Leadership & Client Experience Serve as the on-site event lead and primary point of contact for clients during event execution. Build and maintain professional communication with clients leading up to events to confirm timelines, service expectations, special requests, and operational details. Ensure all event details are executed according to Banquet Event Orders (BEOs), timelines, and Grace Winery service standards. Create a warm, polished, and elevated guest experience reflective of luxury hospitality standards. Troubleshoot challenges quickly and professionally while maintaining a calm, solutions-oriented demeanor with guests, vendors, and staff. Support VIP clients, wedding parties, corporate leadership teams, and high-expectation guests with professionalism and discretion. Event Planning & Sales Coordination Partner closely with the Sales & Events team during the planning process to review event logistics, service details, room diagrams, timelines, staffing needs, and operational execution plans. Assist with BEO detailing and ensure all event documentation is accurate, updated, and clearly communicated to service and culinary teams. Participate in pre-event meetings and walkthroughs with clients and internal departments as needed. Communicate operational feedback and event execution notes back to the Sales & Events team to support continuous improvement and client satisfaction. Coordinate closely with culinary leadership regarding menu timing, dietary needs, coursing, beverage service, and overall event flow. Service & Team Leadership Lead, motivate, and direct banquet service staff through all stages of events including setup, service, transitions, and breakdown. Coach and train staff on service standards, professionalism, guest engagement, and attention to detail. Maintain service flow and labor efficiency while ensuring a high level of hospitality throughout events. Delegate responsibilities effectively while maintaining oversight of all front-of-house event operations. Support other Food & Beverage operations as needed based on business demands. Beverage Program & Inventory Management Coordinate beverage ordering for events based on BEOs, guest counts, and event style. Maintain accurate inventory levels of wine, beer, liquor, mixers, non-alcoholic beverages, and bar supplies for all events. Monitor beverage pars and assist with maintaining organized storage areas and inventory systems. Work with management to forecast beverage needs for upcoming events and seasonal business demands. Ensure responsible alcohol service standards and compliance with all applicable laws and certifications. Event Equipment & Service Ware Management Maintain inventory and organization of banquet equipment, event service ware, glassware, flatware, china, linens, décor support items, and banquet supplies. Establish and monitor pars for event service items to ensure operational readiness and consistency. Identify damaged, missing, or low-stock inventory items and communicate replacement needs to management. Ensure all event spaces, storage areas, and service stations remain clean, organized, and event-ready at all times. Oversee proper setup and breakdown procedures to preserve inventory quality and operational efficiency. Operational Standards Ensure event spaces are impeccably presented and aligned with Grace Winery brand standards. Oversee table settings, décor placement, beverage stations, and timing of all event components. Uphold all safety, sanitation, service, and operational policies. Ensure compliance with alcohol service regulations and venue operational procedures. Maintain a proactive and solutions-focused approach during high-volume or high-pressure service periods. Qualifications 2+ years of experience in hospitality event service, banquet leadership, luxury service, or upscale food & beverage operations. Strong leadership presence with the ability to direct teams confidently, positively, and professionally. Exceptional communication and guest-service skills with comfort interacting directly with high-expectation clientele. Experience reading and executing BEOs, timelines, and event floorplans preferred. Experience with beverage ordering, inventory management, and banquet operational logistics preferred. Reliable problem-solving abilities with the capability to remain composed under pressure. Strong organizational skills and attention to detail. Comfortable working weddings, social celebrations, corporate retreats, multi-day events, and luxury hospitality programs. Flexible schedule with availability for evenings, weekends, and holidays required. ServSafe and/or RAMP certification preferred.
