Job Description

Concierge Events PlannerReporting to the Concierge Events Manager, the Concierge Events Planner is responsible for supporting the planning, coordination and execution of private events at their respective locations. This role assists with guest communication, contract preparation and event logistics while ensuring a seamless experience from inquiry through event completion. The Concierge Events Planner works closely with the Concierge Events Manager and all operational departments to ensure events are organized, communicated effectively and executed to Cake Bake Shop standards.

This role focuses on administrative support, guest service and detailed event coordination while helping drive successful private events for The Cake Bake Shop.

Core Objectives of the Role (this list is not all inclusive)Supports the Concierge Events Manager in the planning and coordination of private eventsAssists with responding to guest inquiries, gathering event details and communicating available options and packagesPrepares contracts, proposals and event documentation through TripleseatMaintains organized and accurate records for all event accounts, including guest communication and notesAssists with coordinating event logistics including timelines, guest counts, menus, room layouts and special requestsEnsures all event elements are properly communicated to the appropriate departments prior to executionSupports the preparation of Banquet Event Orders (BEOs) and ensures details are updated and accurateAttends weekly meetings with Savory, Production and FOH Management to review upcoming eventsAssists in conducting property tours for prospective clients and sharing information about Cake Bake Shop offeringsWorks closely with the Concierge Events Manager to ensure all guest expectations are clearly documented and communicatedAssists with day-of event coordination when necessary to ensure successful executionMaintains communication with clients leading up to their event to confirm details and ensure preparednessProvides administrative support including managing calendars, event files and departmental documentsMaintains brand standards and provides exceptional guest service throughout the planning processSupports cross-selling opportunities between locations when appropriateResponds promptly and professionally to guest inquiries and follows up to ensure satisfactionWorks collaboratively with all departments to ensure smooth event operationsAdheres to all guidelines established by the organization and leadership teamQualificationsEvent planning or hospitality experience preferredFood and beverage experience in a polished dining environment preferredStrong organizational and time management skillsExcellent written and verbal communication skillsAbility to multitask and manage multiple event timelines simultaneouslyProfessional appearance adhering to Cake Bake Shop uniform guidelines and impeccable hygieneBachelors degree in event planning, hospitality or related field is a plusAbility to adhere to a 45-hour (minimum) work week with availability in the mornings or evenings, weekdays, weekends and holidays (if necessary)
