Administrative Executive Officer Duties, Responsibilities and Authorities:
Create, curate, and manage all published content (images, video, written and audio/podcast) on Calendars, Emails, Facebook, Instagram, Twitter and other social media avenues.
Create engaging post using information provided by state and national. Promote events, before, during and after. Develop relevant content topics to reach the association's membership. Monitor, listen and respond to users in a "Social" way while cultivating leads and sales of membership.
Manage the logistics, planning (agenda), coordination and execution of small, medium and large events (meetings, celebrations, town halls, community service, training, internal and external best practice/benchmarking sessions, etc.). This is inclusive of (space acquisition, pricing/fee negotiation, AV, food service, room set up, etc.)
Manage heavy calendar, handle meeting set up/physical logistics and conference call arrangements.
Must have problem solving skills, attention to detail and the ability to work independently. Time management and organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly. Professional written and verbal communication skills and developed people skills.
Create and edit documents using Word, PowerPoint and Excel.
Serves as the primary staff person in answering incoming calls promptly and courteously, providing assistance to callers, forwarding calls to proper individuals/organizations and taking complete and accurate messages as necessary.
Greets visitors in office and at events in a pleasant, business-like manner and assists with questions or problems or directs them to the appropriate staff.
Manages and maintains all aspects of association membership records and membership database, including, but not limited to, processing membership applications, membership dues billing, and internal and external membership reports.
Keeps the reception area, common work area, conference room and kitchen organized, clean and neat. Maintains and orders all office supplies, contacts service personnel as necessary for office equipment repair and maintenance.
Sorts incoming mail and ensures outgoing mail is either picked up or delivered to the post office
Opens, logs and stamps all incoming checks, keep Executive officer informed of all checks received. Gets bank deposits ready for deposit by EO on a weekly basis.
Performs other duties as apparent or directed by the Executive Officer of the Association (Last revised 01/28/2021)
Requirements:
High School diploma or GED Requires 5 years if experience
