Concierge Job Summary:
Serve as primary contact for residents, family members and guests calling and visiting the community; promptly and courteously respond to and direct all inquiries to the proper team member; provide administrative support to the Business Office Director and other team members as directed for tasks related to daily operations. Essential Functions and Responsibilities:
Receive all incoming calls in a professional, courteous, and timely manner; route calls to the proper individual or write a detailed message. Receive inquiries made by visitors, residents, associates, and route to the proper area of concern. Maintain the Resident Sign-In/ Sign-Out Log and Visitor Sign-In/ Sign-Out Log; remind users of the importance of this practice to help ensure everyone's safety. Maintain the Paycheck Distribution Roster every pay-period and obtain each associate's or designee' s signature. Receive maintenance work requests, write-up work order if necessary for resident and transmit to maintenance department. Facilitate medication drop off and delivery to residents in a timely manner. Adhere to the company's mission and core values: Maintain lobby, reception, and photocopy/work area in a clean and organized manner always. Assist new residents with transitioning to life at our CERTUS Senior Living Community, as well as the smooth integration to all amenities. Assemble and maintain adequate supply of marketing brochures. Assist with Accounts Payable filing and other related tasks. Ensure adequate office supplies are maintained by regularly reviewing existing stock and placing orders with approved vendor within budgetary guidelines. Assist department managers with office support (i.e. typing memos, photocopying, phone calls, etc.). Maintain the Check Receipts Record; record resident's name, date, check number and amount of check. Maintain a current and accurate database of residents' names, addresses, telephone numbers, emergency contacts, and birthdays. Keep vendor and supplier contact information updated and distributed to Managers. Make copies and distribute calendars, newsletters, important news to residents. Have a thorough understanding of services that CERTUS offers and who to direct them to for more information. Other Functions and Responsibilities:

General office environment primarily. Assisted living community common areas secondarily. Demonstrate compliance to the Safe Operations Program through appropriate attitude, awareness and actions. Requires extensive use of arm, hands, fingers. Frequently sit for extended periods of time, reach with arms & hands, stand, walk, stoop, talk and hear. Frequently stand or walk for 0-3 hours at one time throughout an 8 hour day. Occasionally sit for 0-1 hour at one time throughout an 8 hour day. Frequently lift and/or carry 0-10 lbs. up to 30 yards. Occasionally lift and/or carry 15+ lbs. up to 30 yards. May be required to support/assist a resident's full body weight. Caring for, or working with dementia is by nature unpredictable and could involve risk. Based on the scope of work, and outlined in the job description, you acknowledge the risk involved in working with CERTUS residents. Due to their disease process, residents undergo different emotional states such as paranoia, agitation, frustration (and more), which may result in physical or emotional expressions. These expressions may include, but are not limited to, hallucinations, delusions, profanity, threating remarks, and physical aggression. Educational, Physical, and Other Requirements:
Must pass Level 2 background screening through the Florida Clearinghouse (Learn more: https://info.flclearinghouse.com) High School diploma or equivalent. Minimum 1 year experience working in assisted living community or similar environment; ability to manage a diverse work load; multi-line phone system; MS office Suite; proven ability to multi-task; strong verbal and written communication skills. Obtain basic First Aid and CPR within 60 days from date of hire Dementia Certification within 60 days from date of hire. It requires extensive use of arm, hands, fingers, legs, and back. Frequently reach, push, or pull with arms & hands. Frequently stand or walk for 0-3 hours at one time throughout an 8-hour day. Occasionally sit for 0-2 hours at one time throughout an 8-hour day. Frequently stoop, bend, kneel, climb, talk, see, and hear. Frequently lift and/or carry 0-10 lbs. up to 30 yards. Occasionally lift and/or carry 15+ lbs. up to 30 yards. May be required to support/assist a resident's full body weight Customer/Guest Relations & Communications:
Must maintain a professional, respectful, friendly demeanor with all residents, family members, guests, and staff at all times. Assist new residents with transitioning to life at our community, as well as the smooth integration to all amenities. Be aware of and address issues of depression, anxiety, fear, and resentment for any resident. Communicate with a wide range of health care professionals; demonstrate courtesy, professionalism, and confidentiality at all times. Initiate efforts on the residents' behalf to secure medical documents, coordinate medical appointments, and address the residents' changes in health conditions, etc. with health care professionals. Communicate with residents, family members and/or Responsible Parties on matters related to the Wellness Department; demonstrate courtesy, professionalism, and compassion at all times.
