We're looking for a new team member who can help us maintain that culture. Who are we looking for? We are searching for a highly organized, tech-savvy, and proactive Director of First Impressions to be the welcoming face of our brokerage. This is a crucial support role for our Leadership Team, and we need someone who is a natural connector and a self-starter. The ideal candidate will have strong communication skills, a knack for technology, and the ability to manage multiple tasks with a sense of urgency and a positive attitude. What will you do? These are the standards a well-above-average performer will maintain or exceed:
Administrative & Calendar Management:
Manage and coordinate schedules, meetings, and appointments for the Leadership Team. Prioritize and manage time-sensitive tasks to ensure efficiency and organization. Manage office supply inventory. Maintain a clean and organized office setting. Receive and sort mail and deliveries. Assist in onboarding new agents by ensuring they have access to the necessary tools and resources.Communication & Client Relations:
Answer phones with warmth, friendliness, and urgency; properly route calls. Serve as the point of contact between the Leadership Team and agents, clients, and vendors. Draft, proofread, and send internal and external communications. Maintain confidentiality while handling sensitive information.Technology & Systems Management:
Create business graphics and content that will be utilized during our team meetings. Ensure smooth integration and operation of Keller Williams technology platforms, including KW Command, DocuSign, and other systems. Provide basic tech support and training for agents and staff as needed. Research and implement tools to improve efficiency and streamline processes as needed.Culture & Events:
Create a welcoming atmosphere for our agents by managing weekly lunches for our team meetings. This includes sticking to a budget, ordering, picking up, setting up, and cleaning up to ensure a seamless experience. Coordinate office events and training sessions. Knowledge/Skills Highly organized with exceptional attention to detail and time management skills. Able to make decisions independently and with confidence. Natural storytelling ability to connect with our agents and clients. Ability to multitask and work efficiently in a fast-paced environment. Positive "my pleasure" attitude. Excellent written and verbal communication skills. Neat, clean, and professional appearance. High school graduate. Proficient with computer applications, including Zoom, Google Suite, Facebook, and Canva. A proven ability to learn and teach new technology systems. Driven to interact with others. Accurate and thorough. Prefers order and certainty. Utilizes a methodical, process-oriented approach to solving problems. Strategic thinker, able to organize their ideas.Pay:
