Job Description

Pollard
CPA PLLC
is seeking a professional, organized, and meticulous individual to join our team as a Client Concierge/Administrative Assistant. This central role serves as the primary point of contact for the firm, ensuring the seamless execution of all front-office and administrative operations. We require a dedicated professional who demonstrates efficiency, discretion, and an unwavering commitment to exceptional service and support.
Key Responsibilities Client Relations & Reception:
Serve as the firm's welcoming first impression, professionally greeting clients and managing the secure intake and release of sensitive documentation.
Communication Management :
Handle all incoming calls with excellence, accurately routing calls, taking messages, and efficiently managing the firm's central appointment and activity calendar.
Administrative & Client Support:
Provide direct support to the team and clients by addressing general procedural questions, assisting with formal document preparation, and executing various required administrative tasks.
Client Communication Platform:
Manage and respond to client inquiries and communications via our dedicated CRM platform, TaxDome.
Data & Records Integrity:
Maintain and manage the Customer Relationship Management (CRM) system, ensuring all client data and records are accurate and up-to-date.
Office Operations:
Oversee document processing, including meticulous scanning, copying, and filing (digital and physical), and manage all outgoing post and correspondence.
Essential Qualifications Professional Conduct:
Demonstrated excellence in phone etiquette and superior, high-touch customer service skills. You are the 'face' and 'voice' of the firm.
Organizational Acumen:
Strong organizational capabilities with a proven ability to effectively manage competing tasks and prioritize workload under pressure.
Technical Proficiency:
Knowledge of systems and standard office software applications (e.g., Microsoft Office Suite). Attention to
Detail:
Meticulous accuracy required for data entry, record-keeping, and handling confidential client documents.
Work Ethic:
Ability to function productively and independently with minimal direct supervision.
Communication:
Excellent command of both written and verbal communication.
