This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure a smooth and efficient environment. The ideal candidate will be proactive, organized, and possess excellent communication skills, including bilingual abilities, to assist visitors, clients, and team members effectively. Responsibilities Greet visitors, clients, and vendors warmly and professionally, ensuring a positive first impression. Manage multi-line phone systems with courteous phone etiquette, directing calls accurately and efficiently. Handle front desk duties including checking in guests, managing appointments, and maintaining visitor logs. Support office management tasks such as filing, data entry, proofreading, and organizing documents. Assist with calendar management and scheduling appointments for staff or executives using Google Workspace or Microsoft Office tools. Maintain office supplies inventory and coordinate with vendors for necessary provisions. Provide customer support by addressing inquiries promptly and escalating issues when needed. Perform clerical duties such as photocopying, faxing, mailing, and basic bookkeeping using QuickBooks or similar software. Support administrative tasks like proofreading correspondence and managing office records with strong organizational skills. Ensure efficient office operations by managing time effectively and prioritizing tasks in a fast-paced environment. Requirements Proven experience working at a front desk or in office management roles with excellent organizational skills. Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, data entry, and basic bookkeeping tools like QuickBooks. Exceptional customer service skills with a friendly demeanor and professional phone etiquette. Bilingual abilities are highly preferred to assist diverse client needs effectively. Previous clerical experience including filing, proofreading, calendar management, and office support is essential. Demonstrated ability to handle multi-line phone systems efficiently while maintaining professionalism under pressure. Excellent time management skills with the ability to prioritize tasks quickly in a dynamic environment. Personal assistant or administrative support experience is a plus; familiarity with office equipment and software is required.
