Known for our compassionate, personalized client experience, we believe a calm, efficient, and welcoming front desk is the heart of a well-run practice. We are seeking a highly organized, detail-oriented, and customer-centric Front Desk & Office Administrator to join our team. This role ensures the front desk operates as a smooth, stress-free machine supporting both ownership and service providers while creating an exceptional first impression for every client. Key Responsibilities Client Experience & Front Desk Operations Welcome clients with warmth, professionalism, and a service-focused mindset. Manage client check-in/check-out with accuracy and hospitality. Schedule appointments, modify bookings, and manage waitlists through our booking platform. Answer phone calls, return voicemails, texts, and respond to emails promptly and professionally. Educate clients on services, packages, promotions, and retail products to support sales goals. Maintain a calm, clean, and organized reception and retail area at all times. Administrative & Operational Support Process payments and sales with precision; maintain accurate daily records. Support therapists and estheticians in coordinating daily service flow, room readiness, and client needs. Assist with inventory checks of linens, spa supplies, retail products, and front desk supplies. Uphold confidentiality, privacy, and compliance standards including HIPAA. Identify operational improvements and support the owner in implementing efficient systems such as Standard Operating Procedures. Handle daily administrative tasks that keep the spa running smoothly, including filing, organizing, and updating internal documents. Productivity, Sales, & Performance Expectations Demonstrate strong follow-through, attention to detail, and daily task completion. Encourage rebooking and promote services, add-ons, and retail items through informed, natural conversation. Maintain an organized workspace and consistently meet productivity expectations. Represent the Monacella brand with professionalism, clarity, and reliable communication. Qualifications Required Exceptional organizational skills and meticulous attention to detail. Outstanding customer service skills with a warm, professional presence. Confident communicator (in-person, phone, text, email) with strong follow-through. Ability to multi-task effectively in a busy environment. Comfort with technology, scheduling systems, and POS software (training provided). Reliable, punctual, and committed to being a steady support to the team. Preferred Experience in wellness, spa, healthcare, hospitality, or administrative roles. Sales-oriented mindset and comfort discussing services, memberships, and retail. Ability to problem-solve and anticipate needs before they arise.
