- Temecula, CA We're hiring a Front Office Concierge to be the first impression — and the lasting experience — our patients remember.
This is a hybrid role. You'll own front desk operations while also being capable of stepping in to support our clinical team. If you have a Medical Assistant background on top of your front office experience, we want to hear from you.
WHAT YOU'LL DO
Front Office:
Greet and check in patients with warmth and professionalism Answer calls, manage scheduling, confirmations, and rescheduling Process checkouts and collect payments in Aesthetic Record EMR Follow up on leads and incomplete bookings via phone, text, and email Call patients post-procedure to check in and encourage return visits Manage loyalty and rewards programs (Alle, Aspire, Evolus) Sell and pre-sell services, packages, memberships, and skincare products Maintain a polished, welcoming lobby and front desk environment Capture patient photos and support social media content collection Participate in opening/closing duties, including cash reconciliation Clinical Cross-Coverage (as needed, for MA-experienced candidates): Prepare treatment rooms and assist providers during procedures Help with RF microneedling, laser therapies, IV therapy, and injectables Document procedures in Aesthetic Record EMR Maintain infection control and sanitation standards
WHAT WE'RE LOOKING FOR
2+ years of experience in a medical spa, plastic surgery, or dermatology practice — required Medical Assistant certification or experience — a strong plus Confident, polished phone presence and strong sales ability Familiarity with EMRs (Aesthetic Record preferred) and Google Workspace Knowledge of HIPAA and OSHA protocols Professional appearance consistent with a luxury wellness brand Reliable, punctual, and a genuine team player
